Compensation Range: $21.36 - $29.90 per hour

Responsibilities

Provide administrative support within a department and serve as the principal assistant to Senior Director(s), Director(s), Associate Director(s), or other leadership roles.

Perform a variety of advanced, complex assignments including department accounts with minimal direction, exercising independent judgment.

Provide work leadership to other support staff and handle highly confidential information with limited supervision.

Essential Functions

Manage the calendar of the Director and coordinate and schedule meetings.

Attend departmental meetings, take minutes, distribute to all related parties, and store them in an office shared drive.

Maintain office equipment, supplies, and the Event and Classroom Management website.

Coordinate and oversee highly confidential matters, develop informational materials, presentations, and communications, ensuring accuracy.

Assist event planners with administrative tasks for special event programs, including arranging services with vendors and managing event registration and reporting.

Process and reconcile event payments in the University Procurement system and assist event planners with billing.

Manage annual administrative planning tasks related to the University Commencement weekend, including phone line monitoring, minute taking, and supply inventory.

Supervise up to two other support staff, prioritizing and assigning work, ensuring staff training, conducting performance evaluations, and providing input on hiring and disciplinary matters.

Direct and coordinate maintenance of departmental accounts, preparing data for operating budgets, financial reports, analyses, and expense allocations.

Coordinate use of conference rooms and maintain calendars for room use and events.

Perform other duties as assigned.

Minimum Education & Experience

Associate's degree (preferred) and 3 years of progressively responsible administrative support, including lead experience (preferred).

Or equivalent combination of education and experience.

Knowledge, Skills And Abilities

Proficiency with Microsoft Suite, virtual collaboration tools (Zoom, Box), Adobe, etc.

Office procedures, database entry principles, customer service and public relations principles, principles of math, mailing and distribution methods, training principles, leadership principles, intermediate to advanced budget administration principles, inventory and supply maintenance principles, event planning.

Ability to effectively communicate and interact, both verbally and in writing, with people across diverse backgrounds and cultures.
