Summary:

As the Philanthropy Coordinator (Database), you help fuel a hunger free community by ensuring every gift is processed accurately, acknowledged with care, and reflected in clean donor records that support our mission. You will enter and maintain gifts in Raiser’s Edge, process cash, check, credit card, and EFT batches in partnership with Finance, run reports that strengthen donor stewardship, and help keep online giving tools and donation pages running smoothly. You will also welcome visitors at the front desk, manage donation mail logistics, and coordinate volunteers who support acknowledgement mailings, connecting the community’s generosity to real impact every day.

FLSA Classification:

Non-exempt; hourly

Pay:

$20.00 per hour plus competitive benefits.

Spanish Bilingual differential:

$0.75 per hour (as eligible)

Position Type:

Full-time; 40 hours per work week

Work Schedule:

Mon-Fri; 8:00a-4:30p with the ability to flex hours to accommodate business needs.

ESSENTIAL FUNCTIONS This job description is not intended to be an exhaustive list of all duties or responsibilities associated with the job. Other job-related duties may be assigned.

DATABASE SUPPORT (55%)

Enter and maintain donor and gift records in Raiser’s Edge with accurate coding and clean, duplicate free data.

Process scheduled gift batches and documentation in coordination with Finance to support timely deposits and reconciliation, including:

Cash and check batches with deposits via FirstBank Desktop Teller, binder documentation, and required Finance backup

Credit card batches with major gift acknowledgement letter printing and required Finance backup

EFT processing by monitoring and coding EFT reports, entering batches by the first full week of the month, and coordinating with Finance for accuracy

Produce reports, queries, and mailing lists to support donor engagement, analysis, acknowledgements, grant submissions, and matching gift and vendor documentation.

Support acknowledgement workflows tied to gift processing, including printing and coordinating volunteer support for general acknowledgements.

Maintain online giving tools and donation experiences, including TeamRaiser and donation pages, annual DIY fundraising page updates, thank you email and page verbiage updates, and ensuring website donation links remain correct.

Complete ongoing database maintenance and cleanups, including monthly attribute code cleanup, duplicate and bad address cleanup, annual historical record review, removal of zero dollar donors when needed, and other data hygiene.

Troubleshoot database issues, submit Blackbaud support tickets, and support staff training and documentation to promote efficient use of Raiser’s Edge.

ADMINISTRATIVE SUPPORT (40%)

Serve as the first point of contact for the public through reception, phone, email, and in person interactions, providing exceptional service with kindness and engagement.

Manage calls and messages and manage donation mail logistics including opening and routing mail, coordinating bulk mail, and coordinating volunteers for mail preparation such as folding and stuffing acknowledgement letters.

Oversee office supplies, informational flyers, stationery inventory, and related budget tasks in collaboration with communications and leadership.

Support leadership with calendar management, scheduling, travel arrangements, and special administrative projects for the CEO and senior staff.

Administer FBLC’s clothing webstore, assist the People & Culture team with employee recognition, and help implement office policies and procedures.

Maintain a strong working knowledge of Food Bank for Larimer County operations to align office support with organizational needs.

GENERAL (5%)

Maintain adherence to FBLC safety, OSHA, and food safety standards, prioritizing safety for oneself and others, including when operating company equipment or vehicles.

QUALIFICATIONS, EXPERIENCE, AND SKILLS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. COMPETENCIES:

Detail oriented and organized, with strong data accuracy, time management, confidentiality, and ability to juggle multiple deadlines and batch schedules.

Collaborative and professional communicator, delivering excellent customer service and effective coordination with Finance, volunteers, and internal teams.

Adaptable and mission driven, self-directed and dependable, able to troubleshoot issues, improve processes, and represent the Food Bank with care and integrity.

EDUCATION & EXPERIENCE:

High school diploma or equivalent required; associate degree preferred with 1+ year of administrative, donor services, gift processing, or data entry experience, ideally using Blackbaud Raiser’s Edge or a similar CRM.

PRE-EMPLOYMENT SCREENING REQUIREMENTS:

Successful completion of all pre-screening requirements.

LANGUAGE SKILLS & ABILITY:

Proficiency in English required, bilingual in Spanish highly preferred.

COMPUTER SKILLS:

Proficient in Microsoft Office Suite, accurate data entry, and able to learn and support donor database and online giving tools such as Raiser’s Edge, NXT, Luminate Online, and TeamRaiser with typing speed of at least 50 words per minute.

SUPERVISORY RESPONSIBILITIES:

This position has no direct reports but may support the coordination of volunteers.

WORK ENVIRONMENT:

Primarily works in an office located within a warehouse.

TRAVEL:

Local travel between the 3 organizational sites is the primary expectation during business hours. Mileage reimbursement is provided for work-related travel.
