Dallas, TX , has engaged us to place a high-caliber, professional, polished, proactive, efficient, and exceptionally organized individual in the role of

Executive Assistant (EA) to the Founder/Executive Chairman (EC) . The Executive Chairman travels frequently and demands a lot of his time within the workplace, family, and community service. He is seeking a career EA & right-hand partner that operates at the top of their game – a hands-on, fully engaged collaborator who works seamlessly across the organization, is in the trenches with him each day, moves with the pace and energy that defines how he operates, and advocates on his behalf in a helpful, positive, and professional manner while staying closely aligned with the firm’s culture and values. The EA’s priority will be to help make the EC’s life more efficient, better organized, and more effective, allowing him to focus on leading the firm and serving clients. The EA must be able to manage a heavy workload, prioritize and manage multiple tasks with minimal supervision, thrive under pressure, operate with precision, think two steps ahead, and perform at the highest level in a fast-paced environment. *Local DFW candidates only*

Full-time, in-office role

that encompasses both executive and personal support, as the Executive Chairman’s world all blends together. The EA will be entrusted with sensitive and confidential information, displaying the highest level of discretion and trust at all times. M‑Th. 7:45 am‑5:15 pm &

Fri.

7:45 am‑3:15 pm. Flexibility to stay a little later as needed to help the EC close out the day. Additional flexibility is needed for communications via email/text/Teams/phone outside of normal business hours, responding to urgent needs immediately, and prioritizing others accordingly (next business day, etc.).

Key Responsibilities Include (but not limited to):

Proactively maintain the EC’s calendar, prioritizing the most time‑sensitive matters as scheduling conflicts and last‑minute requests arise; coordinate weekly with the EC’s spouse, including a calendar review to ensure alignment on business dinners, travel, and other commitments

Manage incoming calls, prioritizing and handling them appropriately to ensure smooth day‑to‑day engagements

Keep the EC well informed of upcoming commitments and responsibilities, following up appropriately

Take ownership of travel logistics for all domestic travel arrangements for the EC and family; coordinate directly with the travel agent for international travel to confirm all arrangements; ensure seamless travel experiences with contingency planning for last‑minute changes/disruptions; create detailed itineraries; maintain travel documentation, memberships, and preference profiles

Coordinate internal and external meetings, ensuring logistics are smooth and well‑documented; prepare materials and send reminders as needed

Assist with personal and family‑related tasks and logistics; communicate professionally with family members, household staff, and service providers as needed

Assist with managing and organizing logistics for company and personal social events/gatherings; allocate sporting/event tickets to friends, family or clients ensuring the process is seamless and efficient

Utilize modern productivity tools (calendar, email, travel apps, task management platforms) with fluency; maintain digital systems and workflows to increase efficiency; manage and troubleshoot basic technology needs and serve as liaison with tech support when necessary

Collaborate with other departments to gather information and facilitate cross‑functional communication

Manage, compose, and prepare confidential correspondence, reports, and other complex documents, proofreading and editing all documents to ensure accuracy and consistency

Manage, intercept, prioritize, and delegate emails to streamline communication (after a period of time)

Manage confidential/sensitive matters with a high level of confidentiality and utmost discretion

Liaise with personal and business associates, philanthropic contacts as needed

Prepare and track expense reports for approval

Assist with projects and initiatives as assigned

Organize and maintain filing systems, and further refine systems and processes to maximize efficiency

Experience/Education:

Solid EA experience, with 3+ years directly supporting C‑Suite executives (ideally CEO/Founder/Chairman level) in high‑trust, fast‑paced environments

Proficiency in MS Office (Outlook, Word, Excel, PowerPoint, and Teams); email management systems, CRM systems, and scheduling tools; solid experience with PCs, Macs, and Apple technology

Bachelor’s Degree preferred (not required)

Experience in the financial services industry is a plus!

Base Salary: $125,000—$150,000 + eligible for company revenue performance‑based annual bonus
