Job Description The Parts Coordinator’s primary responsibility is to provide an exceptional customer experience while managing the ordering, receiving, storing, dispatching, and returning parts for each repair order. The coordinator verifies accuracy and quality of parts received promptly and ensures timely distribution to the shop.

Key Responsibilities

Ensure consistent execution of WOW (Wow Operating Way) plan.

Communicate all customer requests and needs to appropriate team members.

Order and receive parts as indicated on repair orders, confirm quality, correctness, and quantity; identify parts needed for each repair.

Ensure timely parts distribution to the shop in accordance with the production schedule.

Enter all parts invoices into the recommended MIS.

Label and track all parts by the R.O. # and store them with the vehicle and/or scheduled repairs.

Communicate all parts price changes (PPI) to required team members.

Monitor parts suppliers and reconcile vendor invoice history reports.

Post and file or scan invoices and credit memos in a timely manner.

Ensure vendor invoices include correct negotiated discounts to maintain profit margins.

Education and Experience

High School Diploma or equivalent.

1-3+ years of experience working with automotive parts (auto body parts is a bonus).

Customer Service oriented with strong organizational ability to manage pressure and conflicting demands.

I-Car Registered (working toward Gold Class certification).

Required Skills & Abilities

Effective verbal and written communication.

Strong attention to detail and high accuracy.

Ability to multitask in a fast‑paced environment.

Working knowledge of vehicle repair practices.

Experience with MIS: Summit, Repair Centre.

Knowledge of Mitchell, Audatex.

Familiarity with parts sourcing tools (Car‑part, Progi, APU, LKQ B2B).

Solid problem‑solving abilities.

Above‑average computer proficiency and organizational skills.

Ability to work well with others and achieve common goals.

Other Requirements

Frequent bending, crouching, reaching, and handling tools.

Ability to lift in excess of 50 lbs. of materials.
