Referral Admissions Coordinator - Evening Shift Location: Franklin, Tennessee

About the Job The Referral Admissions Coordinator is responsible for providing great customer service for clients and the families of those in need of Summit BHC’s services. They field inbound calls for help from a variety of referral sources and utilize an established sales guide to navigate each call to its conclusion.

They are responsible for developing and growing accounts with new and existing referral sources by establishing relationships with referrals and serving as their single point of contact for patient‑centered communication and activities. The role requires concierge‑type service, with the possibility of handling calls at night and on weekends when necessary.

Roles and Responsibilities

Manages client caseload and assists RAC team with admission‑related activities. Focuses on daily follow up, clear communication and documentation with all involved parties, and a commitment to help all clients who ask for help.

Answers a set goal of inbound calls monthly using the provided training, facility knowledge, and personal commitment to advocate for clients.

Achieves monthly performance metrics.

Maintains the highest standards of call quality and medical file documentation.

Completes comprehensive clinical and medical assessments, and reviews clinical and medical admissions criteria.

Generates, guides, and leads independent discussions with referral sources for customer support, conflict resolution, and business development with other treatment and healthcare professionals.

Responds and reacts to the needs of referred clients both during and after business hours.

Discusses insurance and other out‑of‑pocket costs associated with each admission and completes the necessary pay agreement worksheet to determine a client’s financial obligation for treatment.

Determines amounts due at time of admission and arranges payment plans for clients who qualify.

Communicates with the corresponding Business Development representative whenever appropriate.

Assigns all client follow‑up needs to appropriate team members when out of the office or on vacation.

Assesses family needs for mediation, sober escort, and intervention and determines which professional resources are most appropriate to contact based on information gathered.

Makes admission decisions concerning which interventionist and facility to recommend, the dates, and the travel.

Qualifications

High school degree or GED required. Bachelor’s degree in social work, counseling, or a similar healthcare field preferred.

Minimum of one year of experience in transactional/relationship sales required.
