We are searching for a skilled and compassionate Appointment Scheduler to complement our staff. This job entails ensuring that customer, patient, or team member appointments go off without a hitch. As the first point of contact, you must make a good first impression with exceptional service and daily operations coordination. Main Obligations
Schedule meetings so that client, patient, or internal team member calendars align with yours.
Verify appointments by phone, email, or messaging to prevent errors and disputes.
Maintain and update appointment calendars to avoid double bookings or errors.
Offer substitutions and respond promptly to inquiries about rescheduling, cancellations, or scheduling changes.
Coordinate with other teams or departments to guarantee that appointments are well prepared and resources are available.
Notify clients or team members of any modifications, delays, or cancellations that affect their appointments.
Handle sensitive or private information quietly and professionally.
File, enter data, and keep records as part of the administrative process.
Qualifications & Skills
High school completion; associate’s degree preferred.
Relevant experience in customer service, administrative support, or scheduling desired.
Ability to manage several tasks at once while maintaining organization and accuracy.
Excellent written and spoken communication skills and professional phone etiquette.
Proficiency with scheduling tools such as Google Calendar, Microsoft Outlook, or similar.
Adaptability to a fast‑paced environment and capacity to juggle multiple demands.
Creative problem‑solving skills and ability to consider possible solutions.
Approachable, courteous, and passionate in dealing with clients and colleagues.
