Position Summary
The Production Assistant supports the production, sourcing, and logistics processes that bring toy products from concept to finished goods. This role is essential for keeping projects on schedule, ensuring clear communication with factories, maintaining sample tracking, and supporting the production team with administrative and operational tasks. The Production Assistant helps ensure that product quality, timelines, and documentation meet company standards.
Key Responsibilities
Production & Workflow Support
- Assist with tracking production timelines, sample statuses, and approvals across multiple SKUs.
- Maintain WIP report and coordinate with all departments on timing.
- Create and update production documents, including BOMs, spec sheets, packaging checklists, and cost sheets.
- Maintain organized files for all product development stages, from concept through final production.
- Help ensure all materials are routed to the correct internal teams (design, marketing, sales, operations).
Factory Communication
- Support communication with overseas factories regarding sample updates, costing requests, production timelines, and quality issues.
- Collect and consolidate factory feedback and relay information to the production manager and design team.
- Help schedule factory meetings and maintain issue logs.
Sample Management
- Organize, label, and track incoming samples (T1–T4, PPS, TOP).
- Assist with sample reviews and note-taking during evaluation meetings.
- Manage the sample library and oversee distribution of samples to marketing, sales, and design.
Quality & Compliance Support
- Assist with preparing documentation for safety testing (CPSIA, ASTM, EN71).
- Coordinate shipments of samples to testing labs or internal reviewers.
- Help track test results and maintain compliance documentation.
Administrative & Operational Tasks
- Prepare purchase orders, vendor forms, invoices, and shipping documentation.
- Coordinate freight pickups, inbound sample deliveries, and tracking numbers.
- Maintain production calendars and milestone trackers.
- Support monthly inventory updates and data entry as needed.
Required Skills & Qualifications
Technical & Administrative Skills
- Strong proficiency with spreadsheets (Excel or Google Sheets).
- Ability to manage detailed documents and multiple timelines.
- Familiarity with PLM systems or project management tools (Asana, Monday, Airtable) is a plus. Cin-7 is used for inventory and production managment
- Basic understanding of the product development or manufacturing process (toy industry preferred).
Soft Skills
- Highly organized with strong attention to detail.
- Excellent communication and follow-up abilities.
- Comfortable working in a fast-paced environment with shifting priorities.
- Team-oriented, reliable, and proactive.
Education & Experience
- Bachelor's degree preferred (Business, Operations, Industrial Design, Product Development, or related fields).
- 1–2 years of experience in production, operations, or product development (toy or consumer goods industry a plus).
- Experience working with overseas vendors is an advantage but not required.
