Summary/Objective The Payroll Specialist provides administrative and clerical support to the Payroll Accountant/Controller by assisting with payroll data entry, timecard processing, employee inquiries, and various accounting support tasks. This role is responsible for maintaining accurate payroll records, assisting with compliance documentation, and supporting month-end processes. Work is performed under regular supervision with established procedures and guidelines.

Payroll Processing & Administration

Collects and enters timekeeping information from Tech Tool and Service Management into Paylocity payroll system.

Reviews timecards for accuracy and completeness; obtains supervisory approval for all timecard discrepancies.

Assists with processing payroll including direct deposits, garnishments, and other deductions under the direction of the Payroll Accountant.

Assists with W-2 processing and year-end calculations.

Accounting Support

Assists with recording payroll transactions to the general ledger under direction of the Payroll Accountant.

Assists with accounts payable tasks including entering invoices, sorting invoices for approval, and working within Sage Paperless.

Reviews monthly accounts payable statements and contacts vendors regarding missing invoices as directed.

Assists with month-end reconciliations and reporting as directed by the Payroll Accountant.

Performs data entry and administrative tasks related to payroll and accounting functions.

All responsibilities performed in accordance with GAAP and company policy.

Record Management & Compliance

Maintains organized payroll filing system and ensures all documentation is properly stored and accessible.

Files and tracks all business licenses and certifications.

Supports insurance compliance activities for subcontractors including maintaining certificates of insurance.

Maintains confidentiality of all employee and payroll information.

Provides timely and complete documentation of work performed.

Employee Support & General Duties

Responds to routine employee inquiries regarding payroll, timekeeping, and related matters; escalates complex issues to the Payroll Accountant.

Operates vehicles and other equipment safely; adheres to safety protocols; reports hazards and risks; behavior contributes to a safe and secure working environment.

Other duties as needed and assigned.

Supervisory Responsibility There are no supervisory responsibilities with this role.

Work Environment This job operates in an office environment. This role routinely uses standard office equipment such as computers, phones, copiers, etc.

Physical Demands While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 20 pounds.

Position Type This is a full-time position.

Required Education and Experience

Associate's degree in Accounting, Business Administration, or related field; or High School Diploma/GED with equivalent work experience

Minimum 1-2 years of experience in payroll, accounting, or related administrative role

Preferred Education and Experience

Experience with Paylocity or similar payroll systems

Experience with Sage Construction and Real Estate or NetSuite

Basic knowledge of payroll processing and accounting principles

Compu Dynamics Pay Range $70,000 USD - $85,000 USD
