Position Objective The Exhibitor Sales & Operations Manager is responsible for managing strategic sales and relationship development for NAVC’s top industry partners while leading exhibitor operations and execution across all NAVC events. This role balances revenue generation, retention, and prospecting with exhibitor logistics, systems, and customer service to ensure both financial performance and a high‑quality exhibitor experience. The position serves as a primary point of contact for assigned exhibitors and works cross‑functionally to support seamless execution before, during, and after events.
Primary Responsibilities Sales, Retention & Prospecting (Approximately 40%)
Manage sales, retention, and growth strategy for NAVC’s top 50 industry partners across all NAVC events.
Serve as the primary relationship manager for assigned key accounts, leading renewal discussions and exhibit space negotiations.
Identify and execute upsell opportunities aligned with exhibitor goals, including booth size increases, multi‑event participation, bundled programs, and long‑term commitments.
Prospect and develop new exhibitor opportunities that align with NAVC’s exhibitor portfolio and strategic goals.
Conduct sales calls, virtual meetings, and presentations to position NAVC exhibit solutions.
Collaborate with Sponsorship and Marketing teams to align exhibitor participation with broader NAVC initiatives.
Maintain accurate sales activity, pipeline, forecasts, and revenue tracking within CRM systems.
Exhibitor Operations & Customer Experience (Approximately 60%)
Serve as a primary operational contact for confirmed exhibitors, providing guidance on timelines, requirements, and exhibitor services.
Support exhibitors post‑sale by responding to inquiries via email, phone, and on‑site with a high‑touch, service‑oriented approach.
Manage exhibitor communications, deadlines, forms, and portal navigation to ensure readiness and compliance.
Monitor and manage exhibitor services inboxes and service lines to ensure timely and consistent customer service.
Coordinate with internal teams and vendors to support exhibitor logistics, move‑in/move‑out, and on‑site execution.
Regularly maintain and update exhibit floor plans and booth data in MapYourShow, ExpoFP, or similar platforms.
Maintain accurate exhibitor records across CRM and event management systems.
Assist with payment tracking and collections in coordination with the Accounting team to ensure exhibitor accounts are complete prior to move‑in.
Participate in exhibitor registration testing, portals, and on‑site registration desks as scheduled.
Work cross‑functionally with Sponsorship, Marketing, Registration, Accounting, IT, and Operations teams.
Participate actively in departmental and organizational meetings.
Develop and maintain exhibitor and sales reports related to revenue, retention, and participation.
Work on‑site at VMX (January) and other NAVC events to support exhibitor operations, relationship management, and issue resolution.
Potentially assist with exhibit setup and dismantle as needed.
Education and Experience
Four‑year college degree from an accredited institution.
Seven‑ten years of experience in exhibit sales, event operations, exhibitor services, or related fields.
Experience managing key accounts and selling within an event or association environment.
Association and/or veterinary industry experience preferred.
Skills and Abilities
Ability to balance revenue generation with high‑quality customer service.
Strong sales, negotiation, and relationship management skills.
Excellent organizational skills with attention to detail and deadline management.
Financial literacy related to exhibit billing cycles and contracts.
Proficiency with CRM systems and exhibitor management platforms.
Experience with MapYourShow, ExpoFP, Swapcard, Cvent, or similar event technologies.
Proficiency in Microsoft Office (Excel, PowerPoint, Word).
Proficiency in Google Workspace (Calendar, Drive, Docs, Gmail, Sheets, Slides).
Ability to work in an Apple computing environment (Mac OS).
Strong written and verbal communication skills with a professional, solutions‑oriented approach.
Additional Position Information
10–15% travel (occasional day trips)
Role balance: 40% sales / 60% operations and prospecting
