Office Assistant 1

Essential Job Functions
Assists with data entry in the Client Management Database.
Accountable for following all Performance Standards presented within non‑direct performance grid.
Uses tact and consideration to respond to telephone and in‑person client inquiries, takes messages, and assists clients in the waiting room as needed.
Records, files, and retrieves documents using manual or automated systems; destroys records according to established procedures.
Receives, stamps, records, and distributes incoming mail; checks client history; records payments; distributes memos, schedules, bulletins, etc. to staff.
Reviews general information, goals, goal descriptions, signatures and goal completion on the IAP; ensures appropriate verifications and that contact notes support the IAP.
Operates TDD equipment and fax machine; may be key operator for the copier, including maintaining equipment and xeroxing specific or voluminous assignments.
Organizes and files papers and correspondence; maintains open and closed files; retrieves and maintains closed files; some assignments may require standing and moving about for extended periods and carrying files or similar materials.
Processes monthly closing of files.
Safeguards the provision of quality services.
Operates computer using agency software.
Ensures information entered into the Client Management Database aligns with the client’s files.
Compiles a spreadsheet to document all data entered into the data management systems.
Proficient with the data management systems and can pull reports.
Supports internal auditing of client record keeping to ensure compliance with CHA expectations.
Performs other tasks as assigned.
Works effectively with diverse staff and service population.
Qualifications
High School Diploma or equivalent with one (1) year of office experience or equivalent training.
Data entry experience required.
Basic computer knowledge of applicable software.
Strong organizational, verbal, and written communication skills.
Ability to manage multiple tasks simultaneously.
Ability to exercise initiative and judgment, maintain accurate files and records, including numerical data.
Basic knowledge of grammar and spelling; position requires aptitude testing.
Ability to work with diverse groups.
Salary Compensation is commensurate with years of related experience, position requirements, and candidate qualifications. The average salary for this position is $43,800.
