Roers Companies is seeking an energetic, dedicated professional to join our team in Plymouth, MN as a Lease and Expense Administrator.

Responsibilities Lease Administrator (75%)
Review, interpret, and abstract key information (e.g., rent amounts, lease start/end dates, renewal options, specific clauses) from lease agreements and related documents into a lease management database (e.g. Yardi).
Perform monthly rent roll certifications and general ledger expenses analysis.
Resolve account discrepancies, work with the accounting department as needed.
Monitor and track critical dates, including lease expirations, renewal options, and termination deadlines, and notify relevant parties in advance.
Ensure compliance with all lease terms and conditions, as well as federal, state, and local real estate laws and regulations.
Track and verify that tenants have current and adequate insurance certificates on file.
Generate regular and ad-hoc reports on lease status, portfolio performance, and critical dates for management review.
Conduct periodic audits of lease files and data to ensure accuracy and compliance.
Expense Administrator (25%)
Review, audit, and process employee expense reports, ensuring receipts and documentation are accurate and compliant with company policy.
Ensure all T&E activities adhere to company policies and explain the reasoning behind policies to employees.
Act as a subject matter expert and primary point of contact for employees and vendors regarding travel and expense matters.
Address and resolve any compliance issues, non-payment issues, or discrepancies with diplomacy and tact.
Generate reports on travel expenses and assist with data analysis to help improve policies and procedures.
Requirements
Attention to Detail & Accuracy – Maintains precise, error-free lease and expense data by thoroughly reviewing documents, identifying discrepancies, and ensuring data integrity.
Technical & Systems Proficiency – Uses lease management software and financial systems effectively to enter data, generate reports, and analyze information.
Legal & Policy Compliance – Applies lease terms, regulatory requirements, and company travel/expense policies to ensure full compliance across activities.
Financial Acumen – Understands financial data and processes, supporting rent rolls, ledger analysis, and accurate expense administration.
Communication & Professionalism – Communicates clearly with internal teams and vendors, explains policies, and resolves issues with diplomacy and clarity.
Problem Solving & Critical Thinking – Identifies root causes of discrepancies and resolves lease or expense-related issues using sound judgment.
Time Management & Prioritization – Manages multiple deadlines and tasks efficiently, ensuring timely completion of lease and expense responsibilities.
Collaboration & Cross-Functional Coordination – Works effectively with Accounting, Property Management, Compliance, and external partners to maintain accurate information flow.Confidentiality & Ethical Judgment – Protects sensitive financial and contractual information and makes decisions aligned with ethical standards.
Customer Service Orientation – Provides responsive, helpful support to employees and vendors on lease or expense-related questions and policy matters.
Education
Bachelor’s degree in Business Administration, Accounting, Finance, Real Estate, or a related field (or equivalent work experience).
Coursework or certification in real estate, property management, accounting, or finance is a plus.
Experience
2–4 years of experience in lease administration, property management, real estate operations, or a related administrative/financial role.
Experience abstracting leases, managing lease data, or working with lease management systems (e.g., Yardi) is strongly preferred.
Experience in accounts payable/receivable, general ledger reconciliation, or financial data review.
Background in travel and expense administration or corporate credit card programs is helpful.
Compensation and Benefits Pay Range: $52,630 - $69,200
Compensation is determined by several factors that vary depending on the position, including the individual’s experience, skills, and the knowledge they bring to the specific role.
