Overview
This position serves as a Clerical Associate for Accounts Payable under the general supervision of the Supervisor of the Accounts Payable Unit of Fiscal Affairs. The incumbent will review assigned invoices, maintain policies and procedures, and ensure invoices are processed within established deadlines. The role utilizes the City’s Financial Management System (FMS3) and the Procurement and Sourcing Solutions Portal (PASSPort) to process vendor invoices for goods and services.
Responsibilities
Review and verify the accuracy and completion of invoice payment request documents and supporting backup documents.
Process vendor invoices for goods and services using FMS3 and PASSPort.
Log and track invoices in the unit’s internal tracking database.
Pre‑audit voucher payment packages to ensure all necessary supporting documentation is present.
Monitor payments for errors and approve the payment package or return it to the preparer for corrections.
Review Requirements Contracts and contract specifications before approving payments to ensure conformity to agency and federal/state/city mandates.
Prepare reports for managerial and budgetary review.
Minimum Qualifications
Four‑year high school diploma or equivalent approved by a state department of education or recognized accrediting organization.
One year of satisfactory clerical experience.
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
