Job Summary The Rental Coordinator will be responsible for assigning and scheduling rental equipment to maximize utilization and profitability, while ensuring the job’s expectations are consistently and satisfactorily met. Responsibilities include processing rental equipment orders, coordinating delivery and pickup of rental equipment to and from customers, transferring equipment to all company branches to maintain utilization, submitting and processing daily rental billing, and maintaining effective communication with customers and internal teams. The role requires professionalism, strong communication skills, attention to detail, a positive attitude and outstanding customer service.
Essential Functions
Assign and schedule rental equipment to maximize utilization and profitability and meet job expectations.
Receive incoming customer calls for equipment rentals, availability and quote rates.
Solicit new rental business via outbound phone calls.
Follow established procedures for equipment rentals with the ERP system.
Schedule pickup and delivery of rental equipment to and from customers.
Assist various branches in transferring rental equipment.
Work with lead shop supervisors to schedule rental‑ready equipment and service work.
Maintain an active rental list of equipment availability, ensuring units are checked in and out daily.
Process rental invoices and various special billing.
Communicate all potential and lost rents to the Rental Manager.
Follow up with customers to ensure on‑time delivery and equipment condition.
Understand and stay current with company products, policies and procedures.
Perform all other duties and special projects as assigned.
Qualifications
High School Diploma required, preferably a college degree.
2‑3 years’ experience in the rental industry, sales or a customer service environment.
Experience in the equipment rental or material handling industry preferred.
Strong telephone skills along with written and verbal communication.
Ability to communicate and articulate orders with customers.
Intermediate level proficiency in MS Office (Word, Excel, Outlook).
Physical Demands and Working Conditions Office employees typically sit for long periods and perform tasks that require fine motor skills, such as typing or using a mouse. They may occasionally stand, walk or lift up to 30 pounds, like files or office supplies. The work environment is climate‑controlled with moderate noise.
Working conditions include working indoors and sometimes outdoors; exposure to temperatures commensurate with outdoor seasonal temperatures.
