Receptionist/Executive Assistant

Full time for Hummel's Office Plus at their Mohawk, NY Corporate Office.

Hours: 7:55am - 5pm (Monday through Friday) w/ 1-hour 5 minute lunch

Supervisor: Executive Services Manager

Hummels Office Plus is seeking a Receptionist/Executive Assistant to provide administrative support, manage multiple priorities, and serve as the welcoming face of our company. In this highly visible role, you'll work closely with leadership and support departments like Sales, Marketing, and HR.

This position involves a variety of clerical tasks and requires strong multitasking skills, professionalism, and a customer-focused mindset.

Key Responsibilities

Greet visitors warmly and direct them according to our visitor policy; manage a multi-line phone system, route calls, and monitor daily employee availability.

Manages all functions of a multiline phone system, including turning the system on and off, answering incoming calls, identifying caller needs, and directing calls to the appropriate team member or voicemail. Also operates the paging system for internal announcements and to locate staff as needed.

Perform a wide range of administrative duties including document preparation, filing, laminating, data entry, and review of current Certificates of Insurance.

Support internal communication efforts create and send birthday candies, recognition cards (Reaching for the Stars, Pat on the Back), and internal contact lists.

Maintain calendars, track meetings and employee schedules, and send daily Out of Office email & updates to that email.

Generate detailed reports for Sales and other departments, including 5-year sales analysis, monthly trends, cost comparisons, and product research.

Keep employee lists current and distributes changes via e-mail.

Assist the Marketing and Sales teams with creating promotional flyers, coordinating trade show participation, and preparing for community involvement initiatives. Mut have reliable transportation.

Provide general office support and step in to assist other departments as needed.

Other duties as assigned.

Experience & Educational Background

Associate degree (A. A.) or equivalent from two-year College or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.

Excellent communication, organization, and computer/data entry experience (MS Word, Outlook, Excel, Publisher, etc.)

Creativity and have a pleasant, professional speaking voice and friendly personality with customer focus

Ability to multi-task and effective time management

Ability to work in a team environment or independently
