Base Pay Range $18.00/hr - $21.00/hr
General Summary of Duties
Performs various non‑clinical duties such as collecting copays, verifying insurance, collecting and updating patient information, checking patients in to be seen in a timely manner. This position will also be cross‑trained to cover back office duties. Medical Assistant Degree/Certification is required.
Major Responsibilities / Tasks
Obtain accurate information from the patients and ensure that all registration information is complete and insurance information is current.
Assist the patient as needed by explaining forms or portal registration processes.
Collect patient and insurance payments and reconcile collections daily.
Obtain referrals and authorizations for office services as needed.
Verify insurance benefits and document charts according to protocol.
Provide information to patients regarding unpaid balances, collect prior balances and copays at the time of service.
Contact patients with outstanding balances by telephone to collect.
Scan records into the appropriate sections of patient charts and keep patient charts in the proper order.
Copy patient information and forward it to the requesting party after receiving appropriate consent to release medical records.
Maintain the confidentiality of patient and company files and records by adhering to privacy and security guidelines.
Maintain the organization and efficiency of the front office, including the office supply inventory.
Assist in covering the other front office positions in the event of unscheduled absences.
Coordinate with referring physician offices to treat their patients in a timely manner.
Perform other related duties as directed or assigned.
Promptly and courteously answer phone calls and return messages.
Remain current on company news by monitoring company communications (emails and announcements) and participate in staff meetings. Email should be checked daily.
Education : High school graduation or GED.
Experience : Minimum of one year of medical office experience.
Performance Requirements Knowledge
Knowledge of the practice’s policies and procedures.
Knowledge of medical terminology and insurance practices.
Knowledge of grammar, spelling, and punctuation for effective communication.
Knowledge of computer programs and applications.
Skills
Skill in using office equipment and in handling paperwork and filing adequately.
Skill in handling incoming phone calls and triaging appropriately.
Skill in written and verbal communication.
Skill in gathering, interpreting, and reporting insurance information.
Abilities
Ability to work effectively as a team member with physicians and other staff.
Ability to sort and file materials correctly by alphabetic or numeric systems.
Ability to interpret and understand insurance benefits and reimbursement.
Ability to flexibly respond to changing demands.
Ability to organize and prioritize tasks effectively.
Ability to work with little supervision.
Ability to establish and maintain effective working relationships with patients, employees, and the public.
Equipment Operated : Standard office equipment, including computers, fax machines, copiers, printers, telephones, etc.
Work Environment : Position is in a well‑lit office environment. Varied activities including sitting, standing, walking, reaching, bending, and lifting. Mental and Physical Requirements: Involves sitting approximately 90 percent of the day, walking or standing the remainder. Occasionally lifting and carrying files that can weigh up to 20 pounds. May require working under stressful working conditions.
