Position Description The Customer Assistance Representative is responsible for helping customers seeking services and information at the county health department. This includes collecting demographic and billing information from clients, answering phones, filing, appointment scheduling, data entry and responding to customer questions and needs.
Position Responsibilities / Essential Functions
Frontline customer service and client/patient registrations for the county health department. Process WIC benefits, answer telephones, coordinate with other departments, collect and enter billing information, accept payments, and document transactions.
Perform light typing assignments, schedule appointments, provide general information to the public, file, maintain client records, and prepare program reports.
Access the Oklahoma Health Care Authority Medicaid on the Web daily to verify eligibility, complete new coverage applications or reinstate expired coverage for families or individuals.
Maintain records of supplies and materials, reconcile departmental records with central records, and prepare correspondence, forms, and reports.
Initiate and handle correspondence related to special programs, policies, and procedures.
Perform sorting, filing, telephone, mail handling, and data entry tasks.
Enter and retrieve information using computers, review coded and uncoded source documents, proof data, and make routine corrections.
Examine, check, and verify reports for completeness and compliance, and follow up on discrepancies.
Receive or deliver materials and equipment.
Be present at the office as an essential function.
Other duties as assigned.

Demonstrate knowledge of and support the mission, vision, values, standards, policies, procedures, operating instructions, confidentiality standards, and ethical behavior.
Work effectively in a team environment, assisting peers.
Minimum Qualifications One year of experience in clerical office work plus one year of experience in customer service, or an equivalent combination of education and experience.

Knowledge, Skills, Abilities and Competencies Knowledge of office methods and procedures; grammar, punctuation and spelling; mathematics; basic bookkeeping; inventory techniques; telephone procedures; standard business communications; current office technologies; and competence to operate office machines including computers. Ability to follow oral and written instructions; establish and maintain effective working relationships; create filing systems; analyze situations and make decisions in accordance with rules, laws, and regulations; and provide good customer, interpersonal and communication skills.
Physical Demands and Work Environment Typical office setting with climate control and moderate noise. Requires standing, walking, reaching, carrying light items, and driving. Long periods of sitting and daily use of computers and phones. Willingness to perform all job‑related travel, including occasional overnight and weekend travel in the state. Presence at the office is essential.
