Executive Assistant (Senior Leadership Support)
Location: Richmond, VA
Reports To: Senior Vice President
Position Summary
Our client is seeking an experienced Executive Assistant to provide high-level administrative, coordination, and organizational support to the Senior Vice President and other executive officers based in the Richmond office. This role supports senior leadership by managing priorities, anticipating needs, protecting confidentiality, and ensuring executives can focus on strategic and operational initiatives.
The Executive Assistant serves as a trusted partner to senior leaders in a fast‑paced, dynamic environment and works closely with leaders across the organization to support the company’s mission, values, and people‑first culture.
Key Responsibilities
Provide comprehensive executive‑level administrative support, including complex calendar management, travel coordination, meeting scheduling, and executive correspondence
Act as a gatekeeper and liaison, managing communication flow and prioritizing competing executive demands
Prepare, review, and edit executive communications, presentations, reports, and briefing materials
Support board‑level and leadership team meetings by preparing agendas, taking minutes, and tracking action items
Coordinate and manage confidential and sensitive information with professionalism and discretion
Organize and prioritize tasks to help executives make efficient use of their time
Maintain structured systems for document management, project tracking, and executive workflows
Assist with planning and execution of internal events, leadership meetings, employee engagements, and celebrations
Ensure executives are informed and prepared with necessary materials prior to meetings and engagements
Manage expense reports, vendor coordination, and procurement needs as required
Serve as a central point of contact for internal teams, external partners, and customers requiring executive access
Build strong relationships across departments to improve communication and streamline executive operations
Partner with Talent, Safety, Construction, Service, IR, and other teams on cross‑functional initiatives
Support executive‑sponsored initiatives, strategic planning efforts, and enterprise‑wide projects
Conduct research, compile information, and support development of executive‑level documents and presentations
Lead or assist with special assignments that improve organizational efficiency and enhance executive office effectiveness
Qualifications
5+ years of executive‑level administrative support experience, preferably supporting senior leaders or C‑suite executives
Exceptional organizational, time‑management, and multitasking skills
Strong written and verbal communication skills with the ability to represent the Executive Office professionally
High level of integrity with proven ability to maintain strict confidentiality
Advanced proficiency in Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint, along with modern collaboration tools
Demonstrated experience managing complex calendars, executive travel, and high‑volume scheduling
Experience in construction, engineering, or a fast‑paced, project‑driven environment preferred
Familiarity with Lean, continuous improvement, or operational excellence principles preferred
Experience supporting multiple executives simultaneously preferred
