Overview Secured Tech is a fast-growing company in the K–12 educational technology space, and we’re looking for a detail-driven, tech-savvy Executive Assistant to support our Director of Operations. This in-office role is ideal for someone who excels at keeping a high-performing leader organized and efficient through smart calendar coordination, communication triage, documentation, and project support. The Executive Assistant will play a crucial role in streamlining day-to-day operations, supporting internal communication, and acting as a trusted partner to the Director by helping manage priorities, flag urgent needs, and stay ahead of what’s coming next. Key Responsibilities Administrative & Communication Support: Triage and organize email inbox and Slack messages based on urgency and required input, drafting basic responses when appropriate Serve as a communication buffer when necessary, tactfully redirecting or escalating inquiries Coordinate internal and external communications with clarity, professionalism, and a sense of urgency Support documentation of internal processes Manage and maintain the organization of internal resources in the department’s shared drive Calendar & Meeting Management: Provide calendar management and oversight, including scheduling, rescheduling, and time blocking, to optimize daily work around priorities Take clear and actionable notes in meetings, logging outcomes and follow-up tasks in tools like Monday.com or HubSpot as needed to ensure alignment and execution Prepare briefs, agendas, and recaps to support the productivity and efficiency of meetings Project Coordination & Task Tracking: Help manage timelines and milestones for cross-functional projects by delegating and following up on the status of tasks assigned by the Director Provide updates to stakeholders as needed on project progress Travel & Expense Management: Occasionally book travel and lodging, create basic itineraries, and manage scheduling logistics Submit and track expense reimbursements on the Director’s behalf Data and Systems Support: Pull and share reports to support internal data tracking needs Observe workflows and suggest improvements in how we use tools like NetSuite, Slack, HubSpot, and Monday.com to support internal processes Qualifications Required Proven experience in an Executive Assistant, Project Coordinator, or similar role in a fast-paced, high-growth environment Proficient in Google Workspace and Microsoft Office (creating, editing, sharing, and presenting documents, spreadsheets, and slide decks) Slack or similar internal messaging platforms Google Calendar Video conferencing tools (Zoom, Google Meet, etc.) Basic AI tools or task automation solutions MacOS Excellent written and verbal communication skills Strong judgment and discretion in handling confidential information High attention to detail, organizational discipline, and ability to manage multiple priorities Demonstrated history of leveraging AI tools and automation to simplify or templatize repeatable workflows Prior experience with NetSuite or HubSpot Basic project management training or experience Experience supporting leadership in operations or similar business functions Who You Are Highly-organized, proactive, and thorough A clear communicator skilled at navigating different communication styles Technologically adept and naturally curious—always looking to make tools and systems work better and comfortable advocating for ways to work smarter A protector of time—you know when something can wait, be delegated, or needs immediate escalation Always thinking one step ahead and ready to improve or templatize what’s working A true partner to leadership—someone who adds structure, clarity, and momentum Proactive–someone who notices patterns and begins to anticipate needs as they gain exposure to the day-to-day Interested in working in a collaborative, fast-paced, and mission-driven environment Why Join Us?
