Position Summary The Office Manager will serve as a central support resource for the leadership team and will play a key role in creating a professional, welcoming environment for clients, investors, and visitors. This individual will ensure the office operates efficiently, coordinate high-level administrative functions, and uphold the firm’s standards of professionalism in all interactions.

Essential Duties And Responsibilities

Serve as the primary front-office representative: greet and assist clients, investors, guests, and service partners, ensuring all visitors receive a polished and professional experience.

Provide high-level administrative support to ownership and leadership, including managing calendars, scheduling meetings, coordinating travel, preparing meeting materials, and overseeing logistics.

Assist with the preparation and maintenance of internal and client-facing documents, presentations, reports, correspondence, and meeting packets with accuracy and attention to detail.

Manage daily office operations, including office supply inventory, mail and package handling, vendor coordination, and maintaining a clean and professional workspace.

Assist with client and investor servicing activities, including document collection, scanning, filing, and maintaining organized records.

Support special projects and ad-hoc tasks as assigned, demonstrating initiative, sound judgment, and the ability to anticipate needs.

Maintain strict discretion and confidentiality when handling sensitive business and client information.

Create a warm and welcoming environment for team members and visitors.

Consistently represent the firm with a professional demeanor that aligns with Bluejack Management Partners’ values and client expectations.

Minimum Qualifications

3–5+ years of experience in office management, executive support, or administrative roles within a professional services environment such as hospitality, private equity, corporate services, or similar.

Exceptional professionalism, strong interpersonal instincts, and the ability to interact confidently and appropriately with business leaders, clients, and external partners.

Excellent written and verbal communication skills with meticulous attention to detail; able to produce polished documents and client-facing materials.

Strong organizational and time-management abilities, capable of handling multiple priorities in a fast-paced setting.

High level of discretion, integrity, and judgment when managing confidential or sensitive information.

Proactive mindset with the ability to anticipate needs, be flexible, work independently, and problem-solve effectively.

Proficiency with Microsoft Office applications and comfort adapting to new software and technology as required.

Professional appearance and demeanor consistent with client-facing expectations.

Proven ability to coordinate complex schedules, meetings, and events with multiple stakeholders.

Education

Bachelor’s degree in Business Administration, Finance, Management, Hospitality, or a related field preferred; or 5+ years of equivalent experience in office management, executive support, or administrative roles within professional services, finance, private equity, wealth management, or high-end hospitality.

Proficient skills in Microsoft Office products including Excel, PowerPoint, Word, Office365, Teams, OneNote as well as other common office management and organizational systems.

Approximate Schedule And Hours Weekdays, weekends, and Holidays, schedule flexible as business dictates.
