Position Overview: The Parts Lead Technician supports the Parts Manager and serves as the senior technical lead within the Fleet Services parts operation. This position provides advanced parts expertise, oversees day-to-day counter operations, assists with inventory control, trains Parts Technicians, and ensures accurate and timely fulfillment of parts to customers, technicians, and shop personnel. The Parts Lead Technician helps maintain proper inventory levels, verify invoice accuracy, oversees special-order tracking, ensures compliance with purchasing and safety policies, and supports continuous improvement initiatives. This role acts as a working lead performing all parts counter duties while providing guidance, problem solving, and operational support to the Parts Manager.

Job Responsibilities: Operational & Technical Parts Support

Accurately determine and fulfill parts requirements for customers, technicians, and service personnel, ensuring correct parts identification and compatibility.

Create, review, and process purchase orders; verify invoice accuracy and ensure adherence to County purchasing policies.

Lead daily parts counter operations, including order filling, customer service, and phone support.

Track, monitor, and follow up on special-order parts; ensure timely communication on delays, back orders, and vendor changes.

Maintain detailed records of incoming/outgoing parts, outside purchases, and issued materials.

Assist with evaluating vendor performance, pricing accuracy, and product quality.

Inventory, Organization & Facility Standards

Oversee inventory control, including cycle counts, bin audits, stock level maintenance, and discrepancy resolution.

Support development of improved stocking strategies to reduce downtime and increase availability.

Lead organization and housekeeping of the parts room, storage areas, and receiving zones to maintain a clean, safe, and efficient workspace.

Collaborate with the Parts Manager to identify parts not in stock and determine sourcing alternatives.

Leadership & Team Support

Serve as the lead technician for the Parts Team; provide on-the-job training, process guidance, and task direction.

Assist with onboarding new Parts Technicians and reinforcing workflow expectations.

Support Parts Manager with daily workflow coordination, priority setting, and process improvement initiatives.

Communicate frequently with Service Managers, Technicians, and customers regarding parts status, availability, delays, and order fulfillment.

Attend and contribute to weekly departmental meetings.

Administrative & Compliance Responsibilities

Process and close open invoices; verify requisition accuracy.

Ensure compliance with County safety policies, inventory controls, and procurement guidelines.

Assist the Parts Manager with reporting, documentation, and operational planning.

May be assigned to work at different VMC locations as needed based on workload.

Education:

High school diploma or equivalent.

An associate degree in Automotive Technology or a related field is preferred.

Experience:

Minimum 5 years of automotive parts counter or inventory experience.

Minimum of 1 year experience operating in a warehouse or parts environment in a leadership role.

Experience in a fleet, dealership, or high-volume automotive service environment preferred.

Prior leadership experience or demonstrated ability to lead others strongly preferred.

Knowledge, Skills, & Abilities:

Advanced knowledge of automotive parts, cataloging systems, and inventory practices.

Strong skills in purchase order creation, invoice verification, and vendor coordination.

Ability to interpret technical service information and match parts accurately.

Excellent customer service, communication, and teamwork skills.

Strong organizational and multitasking abilities in a fast-paced environment.

Proficiency in inventory management systems and basic MS Office tools (Excel, Word).

Ability to mentor and coach, Parts Technicians and support the Parts Manager in daily operations.
