Smartplay International, Inc. This is a clerical, administrative support, and customer service position. This position will manage the front desk, incoming calls, and perform administrative and clerical duties as assigned. The daily job will focus heavily on shipping—from FedEx and UPS packages to arranging international shipments of crates. They will assist customers over the phone, WhatsApp, and email. They will maintain a polite, professional presentation in person and on the telephone. The Administrative Assistant position is hourly, non‑exempt, eligible for overtime, and reports to the Office Administrator. Hours are 8:00 am to 4:30 pm, Monday through Friday. Reliable transportation to work is essential, although a driver’s license is not a requirement. Responsibilities

Front desk presence answering and directing incoming calls, communicating with customers, and welcoming occasional visitors, deliveries, and shipping companies. Communicating with freight forward companies, obtaining quotes for international shipments, and preparing bills of lading and all documents required for shipments. Track shipments and help customers solve their logistics, shipping and fulfillment issues. Create and confirm accuracy of commercial invoices and associated paperwork for country‑specific requirements. Updating work orders, monitoring shipments and customer interactions as related to final payments and release of products. Use a variety of computer programs including Microsoft Office and Excel, as well as online communication tools like WhatsApp, Skype, messenger, Slack. Assist in keeping track of machine and Origin service contracts. Become familiar with company products, specs, services, and rental abilities. Required Skills & Abilities

Experience using email, spreadsheets, Microsoft Office, and shipping websites. Excellent verbal, written and interpersonal communication skills. Excellent organizational skills and attention to detail, as well as the ability to meet deadlines. Strong math and problem‑solving skills. Ability to function professionally in a high‑paced and at times stressful environment. Education & Experience

Associate’s degree and two years of administrative experience in an office setting. Experience using spreadsheets such as QuickBooks, Excel, etc., and other forms of e‑communication. Experience with customer relations and office etiquette. Experience with sending and tracking shipments via UPS, DHL, FedEx and other. Location: Philadelphia, PA | Salary: $105,000.00–$115,000.00
