Function / Position Summary To assist the school in maintaining accurate records for the identification, assessment and placement of students in the Multilingual and Multicultural Education programs. In addition, this role supports increased communication between the school and the parents of district U-46 multilingual families. Uphold School District U-46 ICARE Standards. Maintain confidentiality of student/staff information in the school and community.
Job Duties / Responsibilities
Manage student rosters by identifying students who come from non-English-speaking backgrounds within the school by running frequent reports and collecting necessary documentation and information from the previous district, if applicable.
Prepare Notice of Enrollment, as required by the Illinois State Board of Education, by conducting initial conferences with parents or legal guardians and collecting and reviewing the signed/dated NOEs.
Conduct weekly student counts by running various reports using the district's student information system to verify enrollment and ensure that students are placed in appropriate instructional programs.
Regularly review and verify the English Learner student data in the district’s student information system to ensure that it reflects the most up-to-date and accurate information.
Ensure that all English Learner compliance related documents are accurately filed in each student's cumulative folder that follows the Multilingual and Multicultural Education Department Monitor and Checklist.
Complete the MMED Monitoring Checklist to assure that compliance documents are in each student's cumulative folder to ensure compliance with federal and state regulations.
Complete the Dual Language student approval process by following the detailed protocol to ensure the placement of Dual Language Kindergarteners and first graders (only for DL elementary schools).
Run and provide reports, as requested, in support of data accuracy for the MME Department.
In collaboration with other building staff, assist the principal and other school personnel in maintaining communication between the school and home (for example, via newsletters, personal notes, etc.).
Collaborate with school staff, including the building principal, teachers, and secretaries, to serve as an interpreter between school and parents/legal guardians.
Collaborate with school staff, including the building principal, teachers, and secretaries, to translate documents in order to maintain communication in support of the EL population.
Support the main office personnel in facilitating the registration process for new families that need bilingual assistance.
Collaborate with school staff to assist with daily attendance.
Collaborate with school staff to assist with answering calls, take messages, and transfer calls to the appropriate extension.
Support school rules and procedures.
Other duties as assigned.
Education
High school diploma or equivalent required.
Fluent in oral and written Spanish (or other U-46 high incidence language) and English as established through a measurable testing tool.
Experience / Knowledge
Previous clerical experience required.
Experience working with teachers, staff and parents in a supportive role is preferred.
Bilingual (Spanish/ high incidence language-English) required.
Knowledge of Google and Microsoft Office Applications.
Detail-oriented.
High level of communication and interpersonal skills.
Ability to multi-task and work under tight time constraints or deadlines.
High level of confidentiality – work with sensitive data.
Willingness and ability to learn.
Ability to work independently.
Teamwork oriented.
Exhibit initiative, responsibility, flexibility, and leadership.
Physical Demands
Ability to lift up to 25 pounds.
Primary functions require sufficient physical ability to work in office setting and operate office equipment.
Work involves walking, talking, hearing, using hands to handle, feel or operate objects, tools, or controls, and reaching with hands and arms; sitting for prolonged periods of time; extensive use of computer keyboard.
Vision abilities required by this job include close vision and the ability to adjust focus.
Terms of Employment
May require travel to multiple sites.
This is covering a LOA from 12/8/25 - 6/3/26.
$19.47 per hour.
