Front Office Representative – Neurology Clinic (Avondale)

IMS is searching for a professional, compassionate, and knowledgeable individual to fill the position of Front Office Representative for our Neurology clinic in Avondale. The role involves greeting patients and providing the highest quality customer service. Duties include a variety of front‑office tasks such as check‑in and check‑out, answering phones, scheduling, and filing. The representative will instill the IMS mission, vision, and values in every interaction.
Responsibilities
Coordinates and manages physician clinic schedules.
Welcomes patients as they contact the office personally or by telephone, explaining the services available, payment categories, and billing procedures.
Manages check‑in and check‑out functions, verifies demographics of new patients, scans insurance cards into the medical file, and collects and verifies patient forms prior to the provider visit.
Prepares schedules a day before appointment, verifies insurance, outstanding liabilities, medical records, and informs patients of copay and deductibles.
Checks patients in and out.
Schedules appointments, tests, and procedures; directs walk‑in patients and emergencies as per established policies and procedures.
Answers all incoming calls and routes them to appropriate staff, relays telephone messages.
Collects co‑pays and verifies patient coverage, computes charges payable by patient.
Maintains and keeps an updated scanning/filing system.
Has an understanding of insurance referral processes.
Can multi‑task and execute delegated duties.
Requirements
At least 1 year of customer‑service experience.
Previous experience with the Athena system is a plus.
Strong communication skills; initiative; teamwork.
Excellent organizational skills and attention to detail.
Computer skills using Microsoft software, scheduling software, and email applications.
Ability to work in a constant state of alertness and safely handle responsibilities.
Must be able to multitask several phone lines.
Bilingual preferred.
Education
High School Diploma or equivalent.
