Administrative Assistant – City of Overland Park The City of Overland Park has a full-time Administrative Assistant position available in the Planning & Development Services Department.

Summary Performs a variety of administrative support duties, including typing routine to complex correspondence, reports, and documents; compiling data and preparing statistical reports; establishing and maintaining manual and computerized filing systems; answering calls and taking messages; processing invoices and purchase orders; and assisting with miscellaneous office functions.

Duties & Responsibilities

Types and proofreads documents from drafts, verbal instructions, or recordings; maintains division files.

Compiles data for statistical and financial reports and prepares the reports.

Establishes, organizes, and maintains filing systems, including record keeping for various funds and expenditures, inventory records, and department files.

May attend meetings, take minutes, transcribe, and coordinate agenda preparation and distribution.

May review, process, and issue permits and collect fees.

May process and track citizen service requests in a work management system.

May act as a receptionist: answer telephone calls, provide public information, and refer calls appropriately.

May receive, sort, and distribute mail.

May assist with building monitoring, access control, and scheduling.

Maintains calendars and schedules of activities and events; coordinates travel arrangements.

Processes personnel, payroll, and purchasing information; orders supplies; reconciles invoices.

Monitors and dispatches radio calls during emergencies.

Performs miscellaneous and general office duties as needed.

Works the required days and hours to perform responsibilities and maintain punctuality, attendance, and deadlines.

Requirements Education & Special Licenses/Certifications:

Basic education in typing, mathematics, bookkeeping, and office machine operation, or equivalent.

Must be at least 18 years old to access the Kansas Criminal Justice Information System.

Experience:

Two to three years of administrative and clerical experience with PC use.

Skills:

Basic math and accounting skills.

Good oral and written communication.

Interpersonal skills.

Proficient typing and data entry.

Good listening skills.

May require shorthand or dictaphone.

Working knowledge of word processing, spreadsheets, databases, eMail, and calendaring.

Ability to operate two-way radio.

Visual stamina to review alpha/numeric data and long periods at screens.

Must successfully pass a background check, drug screen, physical exam, and essential functions test.

Normal Work Hours: 8:00 a.m.–5:00 p.m., Mon.–Fri.

Salary Range: Grade B $20.99–$23.09
