Administrative Assistant – Forest View Hospital Forest View Hospital, a private 108‑bed psychiatric facility located seven miles southeast of downtown Grand Rapids, Michigan, seeks an organized and detail‑oriented Administrative Assistant to support the Chief Nursing Office (CNO) and nursing leadership team. The successful candidate will coordinate administrative processes, maintain records, and provide assistive support to nursing staff and clinical operations.

Essential Job Responsibilities \ Answer and return phone calls for the CNO and Assistant Chief of Nursing (ACNO); manage mail and correspondence.>

Collect, review, and analyze data; prepare reports and presentation materials.

Coordinate staffing needs for clinical shift supervisors; adjust staffing for census changes and patient acuity.

Maintain electronic files and archives in compliance with hospital retention policy.

Schedules and coordinates meetings; prepares meeting minutes.

Purchase medical, office supplies, furniture, and patient care items in accordance with hospital policy.

Track nursing staff absences; process time‑punch corrections and ensure accurate time records and cost‑center assignment.

Provide updates to supervisors when attendance concerns arise; prepare corrective action documentation for absences, tardies, no‑call/no‑shows, policy violations, and personal conduct.

Conduct interviews and recommend new hires for new mental health workforce candidates.

Assist in new‑employee orientation, performance evaluations, and infection control vaccine clinics and other regulatory reporting requirements.

Act as liaison between nursing administration, HR, and nursing staff; manage special projects and other duties as assigned.

Qualifications

High School Diploma required; associate degree preferred or equivalent combination of education and general office experience.

Previous experience in a health‑care environment preferred.

Experience using time‑keeping and scheduling software.

Knowledge of general office equipment required.
