Role Description This is a full‑time, on‑site role located in Ocean City, MD for a Sales Administrative Assistant. The Sales Administrative Assistant provides day‑to‑day comprehensive administrative and operational support to the Sales and Marketing team. This role plays a key part in ensuring smooth communication, accurate documentation, and seamless coordination across departments to support group bookings, events, and client relationships. The ideal candidate is highly organized, detail‑oriented, and able to manage multiple priorities in a fast‑paced, hospitality‑focused environment.
Responsibilities
Provide support to the Sales department’s management team.
Perform administrative tasks including typing, filing, answering incoming phone calls, and forwarding calls to appropriate sales manager(s).
Work closely and coordinate with all resort departments to ensure group information is communicated and events operate smoothly.
Create and distribute VIP amenity forms for upcoming groups.
Manage gift certificates and spreadsheets for all donations.
Create and oversee group blocks, charge routing, billing, managing pick up, entering rooming lists and reservations and cutoff dates.
Send follow‑up surveys and thank you correspondences to groups after departure.
Document and maintain all current and potential accounts/files.
Generate appropriate and timely correspondence to all current and prospective customers, acting as liaison between the sales/catering team & client.
Attend all department meetings deemed necessary by the Director of Sales and Managing Director.
Perform special assignments and participate in and/or develop promotions as directed.
Share responsibilities with all sales team members in function coverage and evening or weekend sales activities.
Assist with administrative duties for Princess Bayside Beachfront Hotel as directed.

Qualifications
Associate’s or Bachelor’s degree in Business Administration, Hospitality Management, Marketing, Communications, Office Administration, Event Management, or a related field preferred.
Previous administrative or sales support experience preferred, specifically in hospitality or a customer‑focused environment.
Equivalent combination of education and relevant work experience will be considered.
Strong organizational skills with the ability to manage multiple tasks and deadlines.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office applications (Word, Excel, Outlook).
Strong attention to detail and accuracy.
Ability to work independently and collaboratively as part of a team.
Professional demeanor and commitment to customer service excellence.
Primarily indoor office work, with occasional travel to meet potential and existing clients and attend local events.
Customer facing with frequent interaction with clients, staff, and vendors.
