Position Overview The Sr. Administrative Assistant serves as a strategic partner and trusted resource to the Chief Executive Officer of Cary Oil, delivering exceptional executive support, project coordination, and hospitality services. This role requires a proactive, detail‑oriented professional with a commitment to service excellence.

Key Responsibilities Executive Support

Manage complex calendars with precision, anticipating needs and resolving scheduling conflicts

Coordinate meetings and logistics, including travel, reservations, technology, and documentation

Oversee email inbox prioritization to optimize executive focus and time

Prepare, review, and edit communications, presentations, reports, and agendas

Project Management

Lead and coordinate projects, ensuring timely delivery of milestones

Promote innovation and efficiency through creative problem‑solving

Collaborate across departments to align initiatives and maintain transparent communication

Hospitality & Service Excellence

Create a welcoming environment for guests and team members

Support planning and execution of meetings and events

Maintain shared spaces with a focus on service quality

Requirements

Bachelor’s or Associate Degree preferred

PACE certification required within 90 days of start

5+ years of experience in executive support or project management

Proficiency in Microsoft Office Suite, Canva, and related tools

Outstanding interpersonal skills, proactive mindset, and strong organizational ability

High emotional intelligence, discretion, and professionalism
