Legal Assistant – NY Davis Wright Tremaine LLP

Overview Work for a top U.S. law firm’s Litigation office in New York. The position is hybrid – two days remote and three days in‑office – and provides comprehensive secretarial support to attorneys.

Responsibilities

Type, proofread, format, and edit correspondence, pleadings, memorandums, agreements, and other legal documents under time‑sensitive deadlines; some pleading drafting; convert paper and electronic files to PDF.

Handle heavy court filings, including serving pleadings with the court and opposing counsel at state and federal levels in various venues.

Open new client and new matter files and maintain both paper and electronic attorney/client files.

Organize trial binders, working papers, and business‑development binders.

Schedule depositions, meetings, and appointments; maintain calendars; make travel arrangements; set up conference calls.

Track litigation deadlines, provide deadlines to docketing, and confirm all deadlines are docketed correctly.

Answer, screen, and respond to phone calls and email; route mail and email attaching relevant documents.

Enter attorney time into the time‑keeping program and maintain/trail CLE records for attorneys.

Prepare and submit expense/reimbursement reports.

Assist fellow secretaries and attorneys as needed.

Qualifications

7+ years’ experience as a litigation secretary or legal assistant.

High‑speed typing (≥85 wpm) with accuracy; proficiency in MS Office (Word, Outlook, Excel) and Adobe Acrobat. Knowledge of PowerPoint, time‑keeping programs, NetDocs preferred; ability to perform internet research.

Experience filing documents electronically with State and Federal courts; ability to read and apply court rules, including unfamiliar courts and judges’ Individual Rules.

Attention to detail and sensitivity to confidential materials.

High energy and ability to work in a very fast‑paced desk environment; must prioritize under constant, high‑level demands.

Strong communication skills (verbal and written) across all levels of the organization.

Ability to follow work instructions independently and uphold client confidentiality.

High‑school diploma or GED required; bachelor’s degree preferred.

Location & Compensation New York, NY office (hybrid schedule). Salary range: $78,000 – $108,000 annualized ($42.86 – $59.34 hourly). Full‑time employees may be eligible for bonuses and other voluntary programs (health insurance with optional HSA, short‑term disability, long‑term disability, vision care, telemedicine, life insurance, 401(k), etc.).
