Legal Secretary I
Mercury Insurance is seeking a Legal Secretary I to provide secretarial and administrative support to professional legal staff. The role requires legal knowledge, competence and secretarial skills, and will support up to three litigation attorneys.
Position Summary Entry‑level legal support. Draft, prepare and file legal motions, pleadings and correspondence. Maintain attorneys’ calendars, set court dates and schedule meetings with witnesses and other parties. Preserve department records and manage litigation files.
Responsibilities
Draft letters and legal documents.
Prepare and assemble documents with necessary transmittal forms and envelopes in proper format.
Complete typing and word‑processing assignments of legal nature, including correspondence, pleadings, subpoenas and related documents.
Prepare documents for filing with court.
Produce quality written communication, correct and edit documents to ensure final copy conveys proper format and details.
Prepare answers, cross‑complaints, discovery and all pleadings as directed by the handling attorney.
Maintain transcripts, documents and evidence.
Handle files with minimal exposure and complexity; typical soft‑tissue injury claims with no risk.
Maintain record of claims and legal documents and case activity.
Assist attorney with workflow processes, court reporting, copying and delivery agencies.
Ensure all work is prepared and submitted timely without delay.
Understand court deadlines, Rules of Court and processing requirements for all office and court processes.
Handle routine correspondence and inquiries with attorneys, clients, adjusters, courts, etc. through written or telephone communications.
Communicate with claims, opposing counsel and clients regarding legal file.
Carry out day‑to‑day activities logically and effectively; complete work assignments promptly.
Schedule court reporters, expert witnesses and other experts for testimony at depositions and trial.
Classify, sort and file correspondence, articles, records and other documents.
Operate standard office equipment such as word processors, typewriters, transcribing software, case management software, photocopies, etc.
Calendaring
Maintain attorney calendar by accurately recording court dates and appearances.
Schedule meetings, depositions, and appointments; assemble documents, reports and information as requested.
Arrange necessary meeting spaces and secure conference rooms as needed.
Inform participants of meeting dates, times and location.
Resolve calendar conflicts by prioritizing and rescheduling as requested.
Track all deadlines in connection with appearances and daily job duties.
Education
High School diploma or GED (minimum).
Vocational certification or training in the legal field (preferred).
Experience
Basic knowledge of legal terminology, discovery, pleadings and civil court deadlines (minimum).
1–2 years insurance defense or 1–2 years civil litigation experience (preferred). Relevant legal field experience; equivalent combination of education and experience considered.
Knowledge and Skills
Multitask and prioritize assignments; organization skills with eye for details; follow directions.
Typing minimum 60 wpm.
Knowledge of legal terminology and legal document management (briefs, summonses, complaints, motions, pleadings and discovery).
Effective oral and written communication skills with correct grammar, spelling, punctuation usage.
Compose/draft routine pleadings and correspondence; utilize and process available resources; detail‑oriented.
Accurately calendar and manage conflicts across multiple calendars.
Proficient in Microsoft Office applications such as Word, Excel and Outlook.
Knowledge of federal and state court rules and e‑filing procedures; familiarity with litigation management software systems; flexible to adapt and act quickly when urgent matters require it; trial experience (preferred).
