Administrative Assistant
Robert Half Lexington is looking for a highly organized and detail-oriented Administrative Assistant to support a team in Lexington, Kentucky. This is a part time contract position 2 days a week, requiring availability on Thursdays and Fridays, and will continue until a permanent Administrative Assistant is hired. In this role, you will provide critical administrative, technical, and communication support to ensure smooth daily operations and effective program management.
Responsibilities:
- Coordinate general office activities and assist with special projects to support leadership and staff.
- Prepare and organize materials for monthly board meetings, providing administrative support to the Board of Directors.
- Compile and analyze data reports for grants, internal tracking, and board presentations.
- Manage social media accounts by posting content, responding to inquiries, and overseeing the Google Business profile.
- Create promotional materials such as flyers and graphics using Canva, and assist with donor thank-you letters and fundraising communications.
- Answer and direct incoming calls while maintaining clear and effective communication with stakeholders.
- Maintain secure records of team account logins and passwords, ensuring confidentiality.
- Design and manage spreadsheets with formula-based calculations for reporting purposes.
- Update internal forms using platforms like Google Forms and Jotform, ensuring accuracy and usability.
- Provide back-office support, including printing labels, name badges, and envelopes.
Requirements:
- Proven experience in administrative roles, demonstrating strong organizational and data entry skills.
- Proficiency with software tools, including Microsoft Office Suite, Google Workspace, Canva, and WordPress.
- Familiarity with fundraising software integration such as Bonterra and Stripe.
- Excellent written and verbal communication skills, with the ability to collaborate effectively with staff and committees.
- Ability to manage multiple priorities independently while maintaining attention to detail.
- Experience in nonprofit or human services administration is highly preferred.
- Knowledge of case management software and basic design tools.
