Overview Catholic Charities of Lexington is seeking a detail-oriented and tech-savvy Administrative Assistant to join our team. This role is essential to the smooth operation of our office, supporting leadership, staff, and programs through a wide range of administrative tasks. Salary: $38,000-$45,000

Executive/Board Support

Provide general office support and assist with special projects.

Provide administrative support to the Board of Directors as needed including preparing materials for monthly board meetings.

Program/Team Support

Provide administrative, technical, and operational support to program staff.

Pull and compile data reports for grants, board meetings, and internal tracking.

Communications/Outreach

Work with Development Director to manage social media platforms (Facebook, Instagram, LinkedIn), including posting content and responding to inquiries.

Monitor and update the Google Business profile and respond to public reviews.

Create flyers, graphics, and other promotional materials using Canva.

Prepare donor thank-you letters and assist with fundraising communications.

Administrative/Technical Tasks

Maintain a secure record of logins and passwords for shared team accounts.

Print name badges, labels, envelopes, etc.

Design/manage spreadsheets, including formula-based reporting/calculations.

Maintain and update internal forms using Google forms and Jotform.

Bookkeeping Support

Prepare and process checks in accordance with internal controls and authorization procedures.

Receive, record, and prepare deposits.

Maintain organized financial documentation, including invoices, receipts, and supporting records.

Coordinate with the outsourced bookkeeping/accounting firm by providing accurate financial documents.

Support month-end/year-end processes by responding to requests from outsourced bookkeeper/auditors.

Ensure confidentiality and proper handling of sensitive financial and donor information.

Skills & Tools

Knowledge of nonprofit accounting (accrual basis, fund accounting).

Strong data entry, organization, and attention to detail.

Familiarity with fundraising software integration (Bonterra, Stripe).

Communication skills to coordinate with staff and finance committee.

Bachelor’s degree in business, Office administration, Communications, Information technology or related field; or associate’s degree in one of these fields combined with relevant experience

Excellent organizational, written, and verbal communication skills.

Proficiency with Microsoft Office Suite, Google Workspace, Canva, & WordPress

Experience with data management, form creation, and basic design work.

Ability to work independently and as part of a collaborative team.

Ability to manage multiple priorities effectively.

Prior experience in nonprofit or human services administration.

Familiarity with case management software or CRM platforms.
