Summary/Objective We are seeking a highly organized and proactive Executive Administrative Assistant to support our senior management team. This role will provide direct support to key members of the senior leadership team, ensuring seamless coordination and efficient operations. As part of a 100% employee-owned company, this role plays a vital role in enabling leadership to operate effectively and collaboratively across the organization. The ideal candidate will possess exceptional multitasking abilities, strong communication skills and keen attention to detail. A proactive mindset, collaborative spirit, and strong sense of ownership are essential for success in this role. Key Responsibilities Manage calendars, coordinate schedules and ensure efficient meeting organization. Coordinate and handle travel logistics, including booking flights, accommodations and ground transportation. Prepare, reconcile, and submit expense reports accurately and in a timely manner. Prepare and edit correspondence, reports, presentations and other documents as needed. Assist in preparing materials for board meetings, leadership presentations and other high-level communications Act as a liaison between senior management and internal/external stakeholders, ensuring effective communication and follow-up. Organize and maintain files, records and documentation. Assist in planning and executing team events, meetings and conferences. Handle incoming calls, emails, and inquiries, directing them to the appropriate team members. Monitor and manage office supplies, ensuring availability and timely replenishment. Maintain confidentiality and exercise sound judgment in managing sensitive information and executive communications. Support special projects and initiatives as assigned by the senior management team. Travel Minimal out-of-area and overnight travel is expected. Minimum Qualifications Proven experience as an Executive Assistant or in a similar role. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Experience using collaboration and business tools such as Microsoft TEAMS, Concur and DocuSign. Excellent organizational and time-management skills, with the ability to prioritize tasks effectively. Exceptional written and verbal communication skills. High level of discretion and professionalism in handling sensitive information. Ability to work collaboratively with multiple stakeholders and adapt to changing priorities. Bachelor's degree in Business Administration or a related field is preferred but not required.
