The Research Foundation for Mental Hygiene is seeking a qualified candidate to fill a Full‑time Administrative Support Assistant III position. The position will serve as an assistant to the Director of the Psychiatric Institute Residents clinic, an outpatient training clinic for the psychiatry residents at Columbia University Irving Medical Center. This is a full‑time position, to assist the Director (in her many duties relating to her position as director and associate Clinical Professor in Columbia's department of Psychiatry) in the safe and efficient functioning of a clinic that provides psychiatric treatment to a wide range of adults with a variety of clinical diagnoses and treatment needs. There are 4 attending psychiatrists, 24 residents, 2 geriatric fellows and 2 psychology externs in the clinic and about 3–400 patients a year. Looking for someone with strong interpersonal, organization and time‑management skills.
Duties and Responsibilities In addition to special projects as assigned by the director, the selected candidate will serve as an important administrative assistant to the clinic Director who oversees 3 attending psychiatrists and 28 trainees.
Duties and Responsibilities include:
Perform administrative/clerical tasks (examples include preparing materials for classes, interacting with technology departments, maintaining director's schedule and duties related to large amounts of sensitive clinical information)
Coordinate and prepare for all new patient evaluations conducted by residents, notify patients of appointment dates and times and provide directions, help manage the electronic medical record input for intakes
Assist the clinic Director with overseeing the recruitment and screening of patients accepted for treatment in the clinic, assisting with preparing for and coordinating courses that Director teaches to residents
Assist with ensuring a safe handoff of patients between incoming and outgoing residents each June, assist with orienting a new class of residents to the clinic each July
Minimum Qualifications:
A bachelor's degree
Administrative skills including at least 1 year of work experience in typing, using spreadsheets, managing a clinical environment
At least 1 year of academic or work experience in a mental health field, psychiatry or related setting
At least 1 year of work experience using Microsoft Word, Outlook, Excel
Preferred Qualifications:
Minimum 1 year of administrative work experience
Minimum 1 year of work experience interacting with an electronic medical record
Minimum 1 year of work experience in health care and/or mental health care setting
