office management and general administrative support , reflecting the needs of a growing firm where flexibility, ownership, and a "no task too small" mindset are essential.

You will support senior‑level professionals while also contributing to the smooth day‑to‑day operation of the office. The ideal candidate is polished, highly organized, discreet, and genuinely enjoys being helpful—whether coordinating complex international travel or handling ad hoc personal requests.

Location:

Midtown East, NYC

Work Model:

100% onsite (Monday–Friday)

Hours:

Approximately 8:00am–5:00pm

Compensation:

$100,000–$120,000 base salary, plus discretionary bonus, benefits, and 401(k)

Key Responsibilities

Extensive coordination and scheduling of complex internal and external meetings, conference calls, and video conferences using Outlook

Proactively manage and prioritize senior professionals’ calendars, ensuring they stay on schedule and are informed of changes

Coordinate conference rooms, catering, materials, and meeting logistics

Arrange and manage all aspects of domestic and international travel

Prepare, organize, and submit expense reports using Concur or similar expense systems

Handle correspondence, document preparation, and meeting materials

Answer phones, screen calls, and manage messages professionally

Manage high‑volume printing, copying, binding, and distribution of materials

Maintain documents, records, and reports with the highest level of confidentiality and discretion

Provide back‑up administrative support and collaborate closely with other administrative professionals as the firm grows

Assist with general office management needs and special projects as assigned

Comfortable handling occasional ad hoc personal requests from senior leadership

Qualifications

Minimum

5–7 years of experience

as an Executive Assistant or Administrative Assistant in a fast‑paced environment

Financial services experience strongly preferred

Bachelor’s degree preferred, but not required

Advanced proficiency with

Microsoft Office

(Outlook, Word, Excel, PowerPoint); WebEx or similar tools

Experience with

Concur

or similar expense management platforms preferred

Experience with

visa applications and international travel coordination

highly preferred

Proven ability to support multiple senior professionals and manage competing priorities

Excellent follow‑up, attention to detail, and organizational skills

Strong interpersonal skills; positive attitude and team‑player mentality

Self‑starter who takes ownership and anticipates needs

Comfortable working onsite five days per week
