ZACHRY is currently seeking an experienced Document Control Coordinator I for our EXXONMOBIL located in Beaumont, Texas. NO PER DIEM IS OFFERED.

Position Summary

This Coordinator position will assist the Document Controls Manager/Supervisor in receiving, maintaining, validating, inventorying, printing and issuing vital construction documents. A Document Management Clerk is responsible for the receipt, processing and distribution of all project documents received from third parties and internal clients according to Zachry standards operating procedures.

Job Requirements

Must have excellent communication skills.

Must be computer proficient including a proficiency in Microsoft Office applications.

Preferred candidate will have previous experience in a clerical or administrative position.

Preferred candidate will have previous experience working with document controls or an equivalent position.

Must have reliable transportation.

Position Responsibilities

Will receive written, verbal, and electronic requests for documents.

Will receive both physical and electronic documents.

Will create official business memorandums and letters.

Will print and issue documents to approved requestors.

Will communicate with and submit requests to various departments regarding documentation adjustments, releases and returns of documents, and other requested information.

Will use various computer programs in receiving and tracking documents, and will work with various types of printers in creating hard copies per requests.

Must have reliable transportation.

Document Control Coordinator I will be responsible for the following, but not limited to: Understanding the Installation Work Package system – contents (what should be in the IWP from the planner), numbering (must understand the nomenclature and meaning behind each character), QC review (know what to look for on spreadsheets and communicate with QC), constraints (understand what they are and communicate back to the planner for corrections), prioritizing (IWPs that come in for rush with approvals), closed (make sure all signatures and copies are accounted for), revisions/recalled (drawing revisions that come in daily must be understood as time-sensitive due to work in progress), printing of IWP (knowledge of printing order to place in binder). Customer Service – meeting and greeting all individuals that may come into the office while staying on task. IWPs are high-volume items; we must be able to help with all issues that could divert you from your current task. Programming – Aconex (EDMS used), Document Locator/Ensemble+ (responsible engineer onsite EDMS, daily download), Power Bi (program that handles IWP check‑in/check‑out and daily reporting). Drawing/Documents – general understanding of drawings/documents, lookup in EDMs, retrieval when needed.

Additional Job Requirements

Must have excellent communication skills.

Must be computer proficient including a proficiency in Microsoft Office applications. Mid-level Excel background – formulas, troubleshooting, delimited data handling, importing data (multiple windows open).

Must be organized and able to multitask.

Must quickly learn processes and adapt to changes.

Must follow directions precisely as given.

Must work varying hours as required to support construction operations.

Physical Requirements

Employee will be required to sit and work on a computer for large amounts of time.

Communication via speaking and hearing.

Use of arms and hands to signal, grab, hold, turn, push, and pull objects, materials, controls and tools.

May be required to lift, carry and move up to 35 lbs.

Position may occasionally require time on the construction site; ability to walk and climb various outdoor conditions.

Required PPE: hard hat, safety glasses/goggles, ear plugs/muffs, masks/respirators, safety vests, gloves, and leather work boots.
