General Description:
The
Web & Print Support Coordinator
serves as the central point of contact and primary customer service representative for all university constituents, vendors, and visitors interacting with the Marketing and Communications department. This crucial role provides essential operational support across all teams—including web, content, design, and print—to ensure projects flow smoothly, resources are managed effectively, and both digital and print services meet the highest standards of customer satisfaction, quality assurance, and accessibility. This position reports jointly to the Director of Digital Communications and the Associate Director for Print Production. The responsibilities are unified under the theme of providing responsive support and managing department operations: Customer & Project Support
Serve as the primary customer service representative—via walk-up, phone, and online—for all Marketing & Communications services, including web, print, content, design, photography, and social media. Answer and administer all web inquiries, distributing job tickets and requests to ensure the appropriate team can quickly respond and support users. Monitor and manage job requests as they progress through project management platforms (e.g., Formstack, OS Ticket). Serve as a customer service liaison between the university and the process outsourcing provider (Ricoh) for mail services and copy center functions, including necessary bookkeeping for deposits, supplies, and interdepartmental charges. Complete other duties as assigned. Web & Digital Support
Manage the flow of web job tickets and administer all inquiries that come through the main marketing & communications email. Provide extensive training for users on web content management, third‑party web products, and email distribution systems, including hosting open labs and in‑person detailed training as needed. Maintain comprehensive user lists for web and email systems. Update/audit faculty profiles and send quarterly reports to web deputies. Assist in building webpages, online forms (e.g., Form Assembly), and emails/contact lists (e.g., Campaign Monitor), as needed. Conduct monthly website audits to provide reports on broken links, quality assurance, and web accessibility (ADA), utilizing tools like DubBot and Google Analytics. Follow up with additional training for web users based on audit findings. Office & Print Support
Assist the Print Production Manager with credit card purchases and end‑of‑month auditing. Order and maintain inventory for all office supplies for the Marketing & Communications department and the Web team. Work with Information and Technology Services (ITS) to manage the inventory and delivery schedule for toner and supplies across the university. Manage and schedule PLU student workers for on‑campus deliveries. Assist with quality control and delivery for vended print projects. Serve as the primary backup to the Associate Director for Print Production. Knowledge, Skills, and Abilities
Strong, demonstrated customer service skills and a professional, welcoming demeanor. Excellent written and verbal communication and interpersonal skills, with the ability to effectively communicate with technical and non‑technical users. Exceptional organizational skills and the ability to prioritize multiple inquiries and workflows under pressure to provide prompt, efficient support. Ability to learn, train, and support multiple online systems and applications, including a Content Management System (e.g., Wordpress), an online forms tool (e.g., Formstack), an email distribution system (e.g., Campaign Monitor), and web analytics/QA tools (e.g., Google Analytics, DubBot). Experience working with and supporting web designers and developers. Proficiency in standard office equipment, MS Office (Word/Excel), and Google Suite. A detail‑oriented mindset, the ability to work independently with minor supervision, and good professional judgment/discretion. Knowledge of and commitment to diversity, equity, and inclusion. One year of job‑related experience with a focus on customer service, training in appropriate web customer service functions, or related work experience. Education may substitute for some experience. High school diploma or GED. Finalist candidates must satisfactorily complete pre‑employment background checks. Preferred Qualifications
Experience using a Content Management System, particularly Wordpress, and an ability to learn, use, train, and support multiple online systems and services. Experience keeping track of multiple user/distribution lists (Web Users, Email Users, Auditing documentation). Experience using an email builder. Some experience using web analytics tools.
