Company Description ComForCare Home Care in San Fernando Valley is a premier provider of non-medical, private duty home care services. We assist people with the activities of daily living in any setting, whether it be a private residence, nursing facility, or an independent/assisted living community.

Role Description The Scheduling Coordinator is responsible for the scheduling operations at ComForCare Home Care, maintaining constant communication with clients to understand their needs and with caregivers to understand their availability and preferences. The role also assists with general office operations and other administrative duties.

The ideal candidate is friendly, outgoing, professional on the phone, and able to handle diverse duties from scheduling to intakes to recruiting efforts. Strong computer skills, multi‑tasking ability, problem solving, and organization are essential.

Job type: Full-time, On‑site

Location: Woodland Hills, CA 91364

Pay: $24.00 - $28.00 per hour

Work schedule: one weekend day (Saturday or Sunday) plus 4 regular days of the work week.

Qualifications

2+ years experience as a scheduler in a home care agency or senior living facility.

High school diploma; some college coursework strongly preferred; associate or bachelor’s degree ideal.

≥ 18 years of age, U.S. citizenship and/or equivalent employment authorization.

Ability to communicate effectively with clients, families, caregivers, co‑workers, referral sources, and outside agencies.

Extensive experience with administrative duties related to scheduling, customer service, and office operations.

Ability to perform multiple tasks under strict deadlines.

Pass a state criminal background check clearance or have an exemption clearance.

Core Responsibilities Staffing

Respond to customer requests efficiently and professionally.

Check emails and phone messages regularly, responding timely.

Ensure clients are staffed with qualified caregivers and maintain maximum attendance ratios.

Coordinate and update client/caregiver schedules in the agency's online scheduling system.

Create contingency plans to handle potential emergency staffing needs.

Ensure open shifts are covered by the close of each day for the following day.

Communicate scheduling updates to office personnel promptly.

Report client/family/employee concerns to relevant staff.

Inform and familiarize clients with their service/care plans; coordinate with caregivers before initial visits.

Review caregiver qualifications to ensure skill sets align with care plans.

Intake

Manage intake phone calls and answer potential clients’ questions about the agency’s services.

Assist staff in following up with potential clients and/or families via phone, email, or mail.

Schedule initial non‑medical assessments with new client/family.

Enter intake information into the agency’s online system and maintain the intake binder.

Payroll Coordination

Verify caregiver flowsheets against client schedules.

Manage overtime hours, especially during emergencies.

Enter billing and payroll data into the agency’s online system.

Follow up with staff on payroll questions and documentation when requested.

Scheduling System Management

Generate monthly schedules for clients and caregivers.

Enter new client and new hire information and update as needed.

Update client/caregiver schedules promptly.

Generate reports for upcoming supervisory visits and inform staff of scheduled visits.

Caregiver Training Coordination

Coordinate caregiver training to ensure regulatory compliance.

Schedule caregivers in the training platform and maintain weekly schedule.

Update caregiver files to reflect training completion.

Other Duties

On‑call duties as assigned.

Assist office staff with unemployment and workers’ compensation matters.
