Position Title: Executive Assistant – Journey
Job Type: Permanent Staff (SHRA) – Full‑time, Permanent
Location: Chapel Hill, NC, North Carolina, USA
Salary Range: $57,935 – $64,373 per annum
Position Summary The Executive Assistant supports the Associate Dean in the Office of Community Engagement and Outreach (OCEO) within the School of Social Work (SSW). The role serves as the primary point of contact for the Associate Dean and facilitates communication between SSW leadership, university departments, external agencies, and professional organizations.
Key duties include extensive calendaring, travel itineraries and reimbursements, financial recordkeeping, internal and external communications, drafting and editing documents, liaison responsibilities, and assistance with OCEO and Public Service Leadership Program (PSLP) events. The position requires precision, confidentiality, strong interpersonal skills, and the capacity to manage multiple high‑priority tasks in a fast‑paced environment.
Work Schedule: Monday‑Friday, 40 hours per week. The position may support a hybrid arrangement consistent with System Office policy, allowing partially remote work when business needs permit.
Responsibilities
Act as the initial point of contact for the Associate Dean and coordinate internal and external communications.
Manage complex schedules, prioritize competing commitments, and proactively adjust arrangements.
Provide verbal and written correspondence, including drafting MoUs, newsletters, social media posts, policy documents, and official letters.
Oversee travel itineraries, keep track of travel expense reports, and manage reimbursements.
Maintain accurate financial records and prepare requested reports using ConnectCarolina.
Coordinate office management tasks, including facilities liaison, resource procurement, and digital record‑keeping.
Assist with special projects and events for the OCEO, PSLP, and the School of Social Work.
Minimum Education and Experience Requirements
High‑school diploma or equivalency and three (3) years of progressively responsible administrative/office‑management experience;
Associate’s degree in secretarial science, business administration, or a related discipline plus one (1) year of progressively responsible administrative experience;
Bachelor’s degree in business administration or a related discipline (or equivalent combination of training and experience);
All degrees must be from appropriately accredited institutions.
Required Qualifications
Highly organized and detail‑oriented; able to work effectively in a fast‑paced, confidential, and complex environment.
Exceptional professional interpersonal skills for interaction with internal and external stakeholders.
Strong verbal and written communication abilities.
Proficiency in gathering data, sorting complex information, preparing reports, and interpreting policies and guidelines.
Excellent time‑ and project‑management skills with initiative on projects.
Proficient with Office 365 Suite, Microsoft Teams, OneDrive, and videoconferencing; quick learner of new tools and project‑management software.
Dedicated, flexible, collaborative, and customer‑friendly.
Preferred Qualifications
Prior experience supporting high‑level executives in a university, higher‑education, or related setting.
Knowledge of university systems, offices, and practices including ConnectCarolina and Concur.
Exceptional writing skills and experience with communications software, digital newsletter creation and dissemination, basic graphic design software, and professional social media platforms.
