Hours: 40 per week, Monday‑Friday
Responsibilities
Act as the primary point of contact for the Associate Dean and coordinate communications with internal and external stakeholders.
Manage complex schedules, calendar, and travel itineraries for the Associate Dean and Assistant Dean of Workforce Development, anticipating conflicts and adjusting appointments as needed.
Prepare, analyze, and edit written correspondence, minutes, agendas, and policy documents.
Process financial information in ConnectCarolina, assist with reimbursements, and maintain accurate reports.
Oversee office management tasks, including facility liaison, email management, and digital record‑keeping.
Support OCEO events and public‑servicing initiatives such as the Public Service Leadership Program.
Conduct research and data synthesis to facilitate decision‑making for the team.
Minimum Education and Experience
High school diploma with three years of progressively responsible administrative/office management experience; or
Associate’s degree in secretarial science or business administration with one year of relevant experience; or
Bachelor’s degree, preferably in business administration, or equivalent combination of training and experience.
Required Qualifications & Competencies
Highly organized, detail‑oriented, and able to work in a fast‑paced confidential environment.
Exceptional professional interpersonal and communication skills, both verbal and written.
Strong data gathering, analysis, reporting, and policy interpretation abilities.
Proficiency with Microsoft Office 365 suite, Teams, OneDrive, videoconferencing, and experience with project‑management software.
Demonstrated initiative, time‑ and project‑management skills, and ability to work independently and in a team.
Preferred Qualifications
Experience working with high‑level executives in university or higher‑education settings.
Knowledge of university systems such as ConnectCarolina and Concur.
Excellent writing, communications, and social media skills, including basic graphic design software.
