Office Support Supervisor
works closely with a small team, leading by example and jumping in when needed to ensure customers receive outstanding service and work is completed accurately and on time. We’re looking for someone who enjoys variety, values teamwork, and takes pride in delivering excellent customer service. This role is ideal for a hands-on leader—whether you’re newer to supervision or ready to grow—who wants to coach and support a small team while staying engaged in the day-to-day work. Duties and Responsibilities
Supervise and support a small team of three Office Assistant 3 staff, providing day-to-day guidance, coaching, and leadership. Lead recruitment, onboarding, performance management, and training for assigned staff, with support from HR and management. Assign, prioritize, and review work to ensure deadlines are met and customer service standards are upheld. Maintain staff schedules, approve leave and telework requests, and ensure appropriate coverage for in-office operations. Oversee daily operations of the Office Support Unit to ensure accurate, timely, and consistent service to the public and internal customers. Serve as a hands-on leader by stepping in to assist with front desk, phone coverage, service of process, and other OSU work as needed. Develop, update, and improve office support procedures, work methods, and documentation. Identify opportunities for process improvements that increase efficiency, accuracy, and customer satisfaction. Resolve customer service issues and unusual or complex situations with professionalism and sound judgment. Ensure staff are trained and prepared for emergency, safety, and incident response procedures. Collaborate with managers and staff across divisions to provide office support assistance for priority or time-sensitive work. Assess workload capacity and coordinate cross-division support assignments for OSU staff. Serve as a liaison between the Office Support Unit and other divisions to address shared needs and challenges. Maintain the agency-wide Subject Matter Expert directory to help route customers efficiently. Coordinate or provide back-up support for reception, travel coordination, public records assistance, and balance billing-related functions.
Qualifications
Required Qualifications : High school graduation or equivalent. Three (3) years of full-time equivalent clerical and/or customer service experience including one (1) year of experience in a lead, supervisory, mentoring, or training capacity, including assigning, checking, or supporting the work of others. Basic skill level in Microsoft Office products (Word, Excel and Outlook). Ability to type 40 words per minute. *An associate’s degree or higher in a relevant field from an accredited institution whose accreditation is recognized by the U.S. Department of Education or the Council of Higher Education Accreditation, or a foreign equivalent may be substituted for relevant experience. Proof of degree may be required prior to employment. If a degree was awarded outside of the United States, candidates must provide a credential evaluation report. Preferred/Desired Qualifications: Intermediate-level skills and experience in Microsoft Outlook, PowerPoint, Word and Excel.
