TRAUMA REGISTRAR - MEDICAL CENTER TRAUMA PROGRAM Summary

The Trauma Registrar works under the supervision of the Trauma Program Coordinator and the Trauma Medical Director. The registrar is responsible for the collection, entry, maintenance, and reporting of data for the Trauma Center as required by appropriate regulatory agencies. Utilizing analytical, cognitive, and leadership skills, the registrar will retrieve, organize, disseminate, and analyze the collected trauma data for injury research, epidemiology studies, prevention initiatives, patient safety, and performance improvement. The original data shall be obtained from Emergency Department records, electronic medical records, and patient interviews. The registrar will code and enter data into the computerized trauma registry, maintaining confidentiality at all times. High‑quality studies begin with the entry of high‑quality data. The trauma registrar is responsible to perform this task.

Required Skills

Strong knowledge of AIS coding and ICD‑9/ICD‑10 coding.

Functional knowledge of medical registries such as IDPH trauma registry, NTDB, and TQIP.

Excellent computer skills (database usage and report generation) and proficient keyboard skills.

Specialized or Technical Education: Associates degree in Health Information Management preferred or completion of coding course within 6 months of employment.

Prior experience in Emergency or Intensive Care and/or prior registry experience preferred.

Responsibilities

Collects and enters data into the trauma registry regarding trauma patients at the Level I and Level II Trauma Centers in a timely manner.

Collaborates with Information Technology on computer hardware and software maintenance and backup to assure proper registry function.

Assigns and scores all injuries utilizing the most current AIS and ICD scoring systems. Completes and verifies all data for accuracy.

Evaluates the documentation of nursing staff/hospital providers and identifies missing data elements. Coordinates with nursing administration to correct and obtain the information on the hospital record. Reconciles the data as the information becomes available.

Ensures compliance with National Trauma Data Bank (NTDB) and Louisiana Emergency Response Network (LERN) required standards as well as other National standards as they become available and as instructed by the Trauma Medical Director.

Collects, enters and submits data to The National Trauma Data Bank for the Level I Trauma Center on a yearly basis. Also responsible for collecting, entering, and submitting data to Louisiana Emergency Response Network both the Level I and the Level II Trauma centers as required.

Reviews, corrects and validates Trauma Registry reports prior to submission.

Participates as an integral member of the Trauma Performance Improvement and Patient Safety team. Involved in leadership and professional development to assure skills and knowledge of trauma information.

Evaluates current trends in injury mechanism and advises administrative team regarding needs for prevention initiatives.

Cognitively reviews data and advises on needs for change in the Trauma Center Plan for both the Level I and Level II Trauma Centers.

Compiles and analyzes administrative reports for regulatory agencies, participating institutions, and committees as directed by the Trauma Medical Director and / or Trauma Program Coordinator.

Assists the Trauma Medical Director with organization and supervision of staff as well as other related administrative functions.

Participates as an integral team member in the maintenance of and preparation for review of the Level I Trauma Center by regulatory agencies.

Works with the Trauma Program Coordinator collaborating as an advisor for development of the hospital multidisciplinary team.

Actively participates in educational and clinical research projects conducted by the Trauma Medical Director or other faculty as approved by the Trauma Medical Director.

Analyzes data and conducts research relating to education, prevention, and/or trauma services.

Prepares data and trends for presentation at national, state, and local meetings.

Educates nursing staff with regards to required trauma documentation and requirements to maintain the policies and procedures in the Trauma Center Plan.

Represents the trauma center at national, state, and local meetings, as requested by the Trauma Medical Director.

Serves on local, state, and national committees as requested by the Trauma Medical Director.

Works collaboratively with physicians, coworkers, management and other departments.

Completes mandatory 4 hours of registry specific training per year in addition to other continuing education and contact education requirements mandated for licensure and certification.

Follows North Oaks Health System's compliance programs and all federal and state regulatory guidelines.
