Job Overview Volution Development Group is seeking a highly organized and financially savvy Accounts Receivable & Construction Admin Coordinator to support both internal operations and project-related administrative functions. This role blends construction admin experience with financial management, making it ideal for candidates with a background in accounts receivable, QuickBooks, and Buildertrend. You’ll work cross-functionally with Project Managers and leadership to ensure efficient project documentation, accurate invoicing, and seamless internal operations. Key Responsibilities

Manage accounts receivable, invoicing, and client billing processes.

Use QuickBooks to track payments, issue invoices, and reconcile accounts.

Utilize Buildertrend to support project tracking, document uploads, and budget updates.

Assist with administrative tasks, including subcontractor paperwork, compliance tracking, and vendor communications.

Maintain organized records of contracts, insurance certificates, and project documentation.

Support the Project Management team with internal documentation, scheduling assistance, and project updates.

Collaborate across departments to ensure financial data aligns with field operations.

Follow up with clients on outstanding invoices and billing questions.

Generate financial reports and summaries for leadership as needed.

Qualifications

2–5 years of accounts receivable or financial admin experience.

Proficiency with QuickBooks is required.

Experience using Buildertrend in a construction or contractor setting.

Prior experience in construction administration or project support roles.

High attention to detail, strong organizational and follow-up skills.

Ability to prioritize multiple tasks in a fast-paced environment.

Excellent communication skills and comfort working with project managers and ownership.

Bonus: Familiarity with estimating or job costing in construction.
