Position Overview The University of Kansas seeks an Assistant Director of Facilities Services to provide daily oversight and strategic leadership for the university’s facility management team. This role supports the overall facilities services maintenance operation and oversees a team of Building Managers responsible for ensuring the safe, efficient, and effective operation of campus buildings. The Assistant Director acts as a key liaison between Facilities Services, Transportation Services, Environment Health and Safety, Space Management, Facilities Planning and Development, building occupants, and department stakeholders to meet facility‑related needs and maintain clear communication.

Responsible for managing operations across all facilities at the Lawrence and Edwards campuses, coordinating equipment, resources, and staff to deliver preventative, scheduled, and repair maintenance. Some travel may be required. This position reports to the Director of Facilities Services.

Key Responsibilities Oversight and Management of Buildings and Building Managers (40%)

Manage and coordinate direct report building manager teams; develop reliable campus stewardship.

Facilitate training, development, and performance evaluation for Building Managers and facilities services staff.

Ensure routine building inspections and timely resolution of deficiencies.

Provide excellent customer service and timely communication with occupants and stakeholders.

Build a culture of positive internal and external relationships and proactive communication.

Develop and implement short- and long‑range goals and strategic plans.

Maintain compliance with university policies; develop system‑wide protocols.

Implement and maintain internal inspection program for facility quality.

Analyze and report building inspection data; monitor key performance and budgetary data.

Develop and deliver training programs; recommend professional development.

Review completed work for quality and adherence to specifications.

Serve as escalation point for complex building‑related issues.

Evaluate and recommend upgrades and improvements.

Work with director on ROI planning and budget impact for technology improvements.

Develop metrics and reports regarding work activities and timelines.

Facilities Services Operations (30%)

Establish short- and long‑range goals; monitor programmatic and operational effectiveness.

Track spending and complete financial approvals.

Manage deferred maintenance approvals.

Review and approve Maximo FS required items.

Handle day‑to‑day administrative tasks.

Implement and track safety training.

Respond to and manage initial response to emergencies during shifts, including on‑call rotations.

Advise on capital facilities and deferred maintenance needs; assist budget and ROI planning.

Assist in analyzing maintenance, stewardship, and growth needs for programmatic changes.

Collaborate with all Operations units on construction and renovation projects.

Support annual budget planning and progress; identify resource opportunities.

Use data to support operational planning and decision‑making.

Create and maintain program for auditing completed projects.

Other Duties As Assigned (10%)

Assist in emergency and urgent situations as needed.

Assist the director with additional tasks.

Operate KU‑issued vehicles for site work.

Position Requirements

Valid driver’s license at time of hire and during employment.

Work in varied temperature and weather conditions, indoors and outdoors.

Required to bend, stoop, kneel, climb ladders, and work on varied campus terrain.

Capability to lift up to 20 pounds frequently and up to 50 pounds occasionally.

Required Qualifications

Bachelor’s degree in Facilities Management or related field and three (3) years of related experience; OR high school diploma and seven (7) years of experience.

Three (3) years of supervisory or management experience.

Strong written communication skills.

Preferred Qualifications

Experience creating and implementing facility inspections.

Five (5) years of experience in a large institutional or academic setting.

CEFP certified or equivalent.

Experience with automated work ticketing, asset tagging, and database systems.

Strong verbal communication skills.
