Job Summary
We are seeking 2 reliable, bilingual (Spanish/English) Phone Specialists to manage a high volume of incoming and outgoing calls in a busy medical practice. This role is critical to patient communication and requires excellent phone etiquette, strong documentation skills, and the ability to work independently with minimal supervision.
The ideal candidate is calm under pressure, highly organized, professional, and comfortable handling repetitive phone-based tasks throughout the day.
Responsibilities
Answer a high volume of incoming calls in a timely, professional manner
Communicate fluently in both English and Spanish with patients
Accurately route calls to appropriate departments and staff
Return patient calls and relay messages as needed
Listen to, document, and triage voicemail messages clearly and accurately
Enter detailed call notes into the electronic health record (EHR)
Follow office protocols for urgent vs. non-urgent calls
Maintain patient confidentiality and comply with HIPAA requirements
Work independently to manage call queues and assigned tasksProvide a consistently pleasant, professional, and empathetic phone demeanor
Qualifications
Fluent in English and Spanish (verbal communication required)
Prior experience in medical office, call center, or customer service preferred
Strong verbal communication and active listening skills
Ability to work independently and stay focused with minimal supervision
Comfortable with heavy phone work throughout the day
Strong attention to detail and documentation accuracy
Basic computer skills and ability to learn EHR systems
Reliable, punctual, and professional
Physical & Work Requirements
Ability to sit for extended periods of time
Ability to speak clearly on the phone for long durations
Ability to multitask in a fast-paced environment
