Core Responsibilities

Initial Focus (First 3 Months): Regional Ecosystem Mapping

Conduct comprehensive research to identify and map existing business support resources available to child care providers within the assigned region (e.g., SBDCs, Chambers of Commerce, Economic Development Organizations).

Catalog these resources to create a regional referral network, ensuring our back‑office services complement rather than duplicate existing local support.

Establish initial contact with key community stakeholders to introduce CCBO services and build pathways for provider referrals.

Client Onboarding & Implementation

Execute the onboarding process for new child care providers entering the back‑office pilot program.

Assist providers in gathering necessary business documentation and setting up required systems (e.g., billing, payroll, or tracking software).

Serve as the initial guide for providers, ensuring they understand the scope of services and how to utilize CCBO resources effectively.

Account Management & Service Delivery

Act as the primary point of contact for a caseload of child care providers within your assigned region.

Deliver direct back‑office support services, ensuring timely and accurate assistance with administrative or financial tasks as defined by the pilot program.

Maintain strong, trusting relationships with child care business owners, acting as a reliable partner in their business success.

Service Tracking & Data Management

Meticulously track all service interactions and provider progress using the organization’s tracking systems.

Maintain accurate client records to support the Programs & Finance Manager in analyzing program data and refining service offerings.

Report regional challenges and success stories to leadership to help shape the future of the program.

Qualifications Required

Experience in childcare administration, administrative support, bookkeeping, office management, or a related field.

Proficiency with Google Workspace (specifically Sheets/Docs) and comfort learning new software or CRM tools.

Strong organizational skills with the ability to manage multiple client accounts simultaneously.

Excellent communication skills, with the ability to explain administrative processes to diverse audiences.

Valid driver’s license and willingness to travel within the assigned Michigan region.

A background check is required.

Preferred

Previous experience working in the child care industry or early childhood education sector.

Familiarity with business financial practices (payroll, billing, or budgeting).

Experience conducting community outreach or resource mapping.

The Ideal Candidate Is

A Regional Connector:

You enjoy “connecting the dots” between people and resources, ensuring no opportunity for support is missed.

A Helper at Heart:

You enjoy taking administrative burdens off others so they can focus on their passion—caring for children.

Process‑Oriented:

You are comfortable following workflows for onboarding and tracking but can adapt when a client needs extra help.
