General Summary This position ensures the accurate and efficient processing of vehicle titles by verifying title information is correct, maintaining knowledge of current laws regarding vehicle titles, and interacting with dealership personnel, customers, and regulatory agencies to resolve title issues. The ideal candidate will be energetic and professional, with a strong desire to succeed.

Essential Duties

Reconciles and deposits service and parts receipts, including charge cards, on a daily basis.

Receives all monies received from vehicle sales, checks for money due, and provides drafts for dealer signatures.

Enters finalized cash receipts and updates Accounts Receivable ledger by customer.

Files all cash receipt records, check stubs, and bank receipts.

Validates that daily Repair Orders are correct and processed in a timely manner.

Prepares cash deposits and fills out the cash control sheet daily.

Reviews cash requirements and prepares Accounts Payable checks for mailing.

Prepares and mails monthly statements to customers.

Answers Accounts Receivable phone calls and follows up on inquiries.

Ensures that Accounts Receivable amounts are collected promptly.

Passes trade payoffs to office manager.

Prepares monthly bank reconciliation for all accounts; verifies the accuracy of bank statements and resolves questions or problems; maintains the integrity of cash balances and cash flow systems.

Ensures timely posting, accuracy, processing and reporting of all financial data.

Reviews financial transactions and ledgers working with the accounting staff to clear up any discrepancies.

Posts journal entries into General Ledger.

Assists with related special projects as required.

Processes new and used vehicles for registration in the state in which they will be titled.

Processes pre‑owned vehicle title transfers.

Prepares tax and title documents.

Prints paperwork for auto sales including DOT MV and GAP documents.

Verifies data, completes state forms, makes disbursement for taxes and fees, and submits to the state.

Maintains and reconciles schedules for tax, title and license payable and lien payoffs.

Identifies internal control issues by reviewing existing policies, verifying changes in authorized personnel, and communicating issues to the Office manager or Controller.

Examines vehicle title for accuracy and conformity to specified requirements.

Verifies acceptance of the title in the state for which it is filed.

Confirms accurate title VIN number, odometer reading, releases of liens, and that titles contain no alteration.

Determines negotiability of title document and assesses for potential fraud. Reports any title discrepancies.

Resolves titling issues through interaction with dealership staff, customers, dealers and regulatory agencies.

Compiles and maintains a complete list of all outstanding title work.

Signs over titles for all wholesalers who have paid in full.

Maintains knowledge of current DMV laws and regulations as they relate to vehicle titles and interprets titling regulations in each state for which vehicles are processed.

Processes payoffs on trade‑ins and floor plan, pulls contracts, and forwards to financial institutions.

Verifies Finance and Insurance (F&I) data to documents.

Enters ESP warranty data into system.

Prepares deal jackets for vehicles.

Reconciles vehicle inventory schedules as assigned on a weekly and monthly basis.

Runs outstanding title reports, reviews and contacts sellers regarding outstanding titles.

Computes and enters Sales staff commission calculations (deal recaps).

Processes rebates.

Prepares packages for deal funding.

Stays abreast of title regulations. Attends seminars held by local licensing bureaus and any available training on title regulations.

Job Requirements / Qualifications

Minimum of 1 year of previous automotive titling experience required.

Notary License preferred.

Ability to communicate effectively verbally in one‑on‑one situations to customers and other associates.

Desire to work within and help support a team.

Valid driver’s license.

Computer literacy and must be able to learn Company software.

Automate experience a plus.

Education / Experience / Certification Requirements

Minimum of High School degree or equivalent.

PA Driver’s license.

Possess an acceptable driving record and valid driver’s license in state of residence.

A criminal history background check will be conducted prior to beginning employment.

A Clear pre‑employment drug screen.
