General Summary This position ensures the accurate and efficient processing of vehicle titles by verifying title information is correct, maintaining knowledge of current laws regarding vehicle titles, and interacting with dealership personnel, customers, and regulatory agencies to resolve title issues. The ideal candidate will be energetic and professional, with a strong desire to succeed.
Principal Duties And Responsibilities
Process all new and used vehicles for registration in the state in which they will be titled.
Process pre‑owned vehicle title transfers.
Prepare tax and title documents.
Print paperwork for auto sales including DOT MV and GAP documents.
Verify data, complete state forms, make disbursements for taxes and fees, and submit to the state.
Prepare and distribute title envelopes.
Maintain follow‑up on all incoming titles.
Maintain and reconcile schedules for tax, title and license payable and lien payoffs.
Identify internal control issues by reviewing existing policies, verifying changes in authorized personnel, and communicating issues to the Office Manager or Controller.
Examine vehicle title for accuracy and conformity to specified requirements.
Verify acceptance of the title in the state for which it is filed.
Confirm accurate title VIN number, odometer reading, releases of liens, and that titles contain no alteration, etc.
Determine negotiability of title document and assess for potential fraud. Report any title discrepancies.
Resolve titling issues through interaction with dealership staff, customers, dealers and regulatory agencies.
Work with manager/supervisor to negotiate price adjustment between buyer and seller for a title problem, if necessary.
Submit all legal transfer work to the Department of Motor Vehicles.
Maintain a system to verify out‑of‑state titles.
Compile and maintain a complete list of all outstanding title work.
Sign over titles for all wholesalers who have paid in full.
Maintain knowledge of current DMV laws and regulations as they relate to vehicle titles and interpret titling regulations in each state for which vehicles are processed.
Maintain error logs and keep management abreast of issues.
Process payoffs on trade‑ins and floor plan, pull contracts, and forward to financial institutions.
Verify Finance and Insurance (F&I) data to documents.
Enter ESP warranty data into system.
Enter vehicles and associated data into system (stock in) including all floorplan information.
Prepare deal jackets for vehicles.
Reconcile vehicle inventory schedules as assigned on a weekly and monthly basis.
Receive and route telephone calls in a courteous and efficient manner to the appropriate personnel or department.
Perform other duties such as processing vehicle sale day transactions.
Run outstanding title reports, review and contact sellers regarding outstanding titles.
Compute and enter Sales staff commission calculations (deal recaps).
Process rebates.
Prepare packages for deal funding.
Post deals to accounting.
Stay abreast of title regulations. Attend seminars held by local licensing bureaus and any available training on title regulations.
Maintain a professional appearance and a neat work area.
This position will have other general clerical office duties and support various accounting functions of the dealership.
Perform other duties as assigned by the office management.
May be required to work overtime (more than 40 hours per week) as business needs dictate.
Job Requirements/Qualifications
Minimum of 1 year of previous automotive titling experience required.
Notary License preferred.
Experience with PA tag and titling regulations.
Ability to communicate effectively verbally in one‑on‑one situations to customers and other associates.
Desire to work within and help support a team.
Valid driver’s license.
Computer literacy and must be able to learn Company software.
Automate experience a plus.
Additional Knowledge, Skills, And Abilities
Strong attention to detail and sense of urgency.
Excellent communication skills both written and oral.
Active Listening – give full attention to the words and body language of others, take time to understand the points being made and ask questions as appropriate.

Education/Experience/Certification Requirements
Minimum of High School degree or equivalent.
PA Driver’s license.
Possess an acceptable driving record and valid driver’s license in state of residence.
A criminal history background check will be conducted prior to beginning employment.
A Clear pre‑employment drug screen.
Physical Requirements / Working Conditions
Indoor office environment, considerable use of telephone, computer and other office equipment.
