This position requires a service‑oriented person with a keen eye for detail, database and inventory experience.

The candidate will juggle administrative support while managing an inventory of hardware assets deployed to NBC Universal film productions and term deals.

Base pay range $65,000.00/yr – $68,000.00/yr

Essential Responsibilities

Administrative support for department VP.

Manage VP calendar, PSG shared calendar, and coordinate scheduling of departmental meetings.

Responsible for Concur expense reporting and coding for the department.

Submit and receive purchasing requests and inventory new assets.

Ordering kitchen and office supplies and restocking.

Maintain and organize purchasing/spending digital files.

Database tracking and auditing of fixed asset computer equipment including computers, monitors, printers, accessories, and specialized production hardware.

Follow up on outstanding equipment and estimate return dates.

Coordinate regular accuracy updates with productions.

Coordinate all shipping (domestic and international) to production locations including customs manifests and follow‑up paperwork.

Process accounts payable and research status.

Update disposition of PSG assets in ServiceNow.

Manage RMA/repair records for assets.

Coordinate disposal process for end‑of‑life assets.

Physically work with hardware assets, cables, cords, and shipping containers.

Maintain organization of PSG stockroom and oversee inventory control of secured assets.

Occasional on‑lot pickups and deliveries.

Account Admin with account management correspondence.

Assist with office facilities as needed.

Qualifications Basic Qualifications

IT department requires tech savvy; computer and internet research proficiency.

Minimum 2‑year experience with database software, understanding of database work and tracking.

Minimum 2‑year inventory management experience; computer hardware tracking a plus.

Strong O365 products: Outlook, Teams, PowerPoint, SharePoint, Excel, Word – more than basic or beginner experience.

Fast typing skills; 10‑key a plus.

Strong communication skills both verbal and written.

Strong customer service skills.

Desired Characteristics

Managing inventory requires strong attention to detail and accuracy; knowledge of computer equipment and tracking requirements.

Solid history of managing an inventory in a database; FileMaker Pro experience a plus.

Experience working in a studio film production environment or similar fast‑paced business.

Ability to adapt, problem‑solve, and learn at a high rate.

Must work closely with various staff levels at the studio and on‑film production.

Process requests quickly in a changing environment; hands‑on candidate not afraid of challenging situations.

Dependable; responsibilities are demanding and constant.

Patience, especially when following up with staff regularly and enforcing organizational efficiency of storage areas.

Additional Information This position has been designated as In‑Person, requiring the employee to work from the office five days per week.
