Position Summary We are seeking a highly experienced, strategic Executive Assistant to provide high-level support to the Senior Vice Presidents and the Head of Real Estate. This role requires exceptional judgment, discretion, and operational rigor, serving as a trusted partner to executives and enabling focus on high-impact priorities through complex logistics, communications, and cross-functional coordination.

Key Responsibilities

Executive Support & Prioritization

Proactively manage complex calendars, balancing leadership meetings, board activities, external engagements, and personal commitments.

Exercise sound judgment in prioritizing requests, anticipating conflicts, and making trade‑offs aligned with executives’ goals.

Prepare daily and weekly briefings, agendas, and pre‑reads to ensure executives are fully prepared.

Communications & Stakeholder Management

Serve as primary point of contact for internal and external stakeholders, including board members, investors, regulators, and partners.

Draft, review, and manage sensitive communications with accuracy and professionalism.

Maintain strict confidentiality around executive, board, legal, financial, and personnel matters.

Meeting, Travel & Event Management

Coordinate complex domestic and international travel, including multi‑city itineraries and real‑time problem resolution.

Plan and support high‑stakes meetings such as board meetings, earnings activities, leadership off‑sites, and investor events.

Manage logistics, materials, and follow‑ups to ensure meetings are productive and outcomes are tracked.

Operational & Business Support

Partner with executives to drive operational efficiency within the office, identifying opportunities to streamline processes.

Track action items, deadlines, and deliverables across functions to ensure follow‑through and accountability.

Collaborate closely with Legal, Finance, HR, Investor Relations, Communications, and other executive offices as needed.

Strategic Functions

Own team sprint planning, performance management rhythms, organizational structure administration, and meeting governance for the leadership team.

Multi‑Executive Coverage

Provide comprehensive support to three senior leaders (two SVPs and the Head of Real Estate).

Qualifications

15+ years of Executive Assistant experience, preferably within Fortune 100 banking or technology sectors.

Demonstrated ability to operate with discretion, sound judgment, and professionalism in highly confidential environments.

Exceptional organizational and time‑management skills with the ability to manage competing priorities under pressure.

Strong written and verbal communication skills.

Advanced proficiency with Microsoft Office and/or Google Workspace; comfort with collaboration, scheduling, and expense tools.

High emotional intelligence and ability to build trust with senior leaders and stakeholders at all levels.

Demonstrated experience with project management, sprint planning (Agile/Scrum familiarity is a plus), and business operations.

Proven ability to handle highly sensitive personnel data with absolute confidentiality.
