Base Pay Range $65,000.00/yr - $80,000.00/yr
Summary Connect Search is hiring an Executive Legal Assistant in Madison. This position offers a hybrid work from home schedule of 2 days per week.
Responsibilities
Draft lease abstracts, amendments, key date letters to tenants.
Prepare and file notices or letters in coordination with property management.
File, organize and maintain digital and physical documents.
Maintain and update investor information and ownership changes related to large partnerships.
New entity set‑up including drafting operating agreement and filing articles of organization and EIN applications. Track deadlines and file annual reports for over 100 entities.
Create and maintain the company’s entity organizational chart.
Support due diligence for acquisitions, sales, and financing activities including review of title, survey, deed, asset transfer forms, and preparation of property management transition letters, estoppels, SNDA’s, property management agreements, and promissory notes.
Maintain and/or draft various employee communication related to employee handbook, health insurance or other notices.
Assist and support accounts payable and the accounting department, as needed.
Various other mail, office and support tasks, as requested.
Qualifications
Associate or bachelor’s degree in Legal Studies, Business, Real Estate, or related field is required. Minimum of 2 years of experience in paralegal, legal assistant, lease administration or compliance role – preferably in property management or real estate is required.
Familiarity with lease structures, landlord-tenant law, and fair housing regulations in preferred. Excellent written communication and organization skills are required.
High attention to detail and ability to handle confidential material with discretion and professionalism is required.
Proficient in Microsoft Office and document management systems is required.
Strong ability to work independently and collaboratively across teams is required.
A Paralegal certificate, compliance certification, and/or Notary Public are preferred.
